The Brendoncare Foundation are delighted to advertise for an administrative assistant as part of the growth of our existing administrative team within the home.

**What will I be doing?**

The role of Admin Assistant is to support the Home Administrator in providing an efficient and effective administrative service to the Home Manager. Our Admin Assistant is responsible for ensuring that every resident, relative, prospective resident or relative, external agency or other visitor receives a warm welcome and finds our home a place where residents receive care, respect and compassion in an atmosphere of laughter and friendship.

**HR and Payroll Administration Responsibilities**:

- Monitor all sickness forms to ensure they are completed accurately and scanned to Payroll.
- Monitor all back to work interviews to ensure they are conducted by the relevant manager, flagging any concerns to the Home / Deputy Manager.
- Scan FIT notes to payroll
- Forward all Covid Isolation notes to Central Office
- Support the Home Administrator with Payroll processing including timesheets, annual leave and liaising with Payroll to resolve any pay queries.
- Distribute payslips to staff
- Manage annual leave requests and monitor staff are taking their annual leave throughout the year, keeping the Home / Deputy Manager aware of any issues.
- Ensure COD forms are issued and the information is correct and forward to HR.
- Be the first point of contact for uniform requests
- Responsible for ensuring electronic staff personnel files are up to date and documents scanned and filed accordingly and compliant with GDPR Guidelines.
- Liaise with Payroll to ensure Fobs are provided to staff and Central Office Reception for name badges.

**Rota Administration Responsibilities**:

- Liaise with the Deputy Manager to ensure 4 week rota’s are completed efficiently and circulated in good time.
- Ensure the allocation sheet is completed efficiently and circulated to Deputies
- Ensure a system is in place to communicate shifts that need to be covered to staff and Bank Staff in good time. Using agency staff as a last resort.
- Ensure the agency spreadsheet is completed detailing reasons for agency use.
- Complete headcount sheet on a daily basis.

**Reception Administration Responsibilities**:

- Monitor stationery levels and order new stock as required.
- Manage the relative’s visiting booking system (Meet My Brian)
- Provide cover on Reception in the absence of the Receptionist

**Communication**
- Liaise with Home / Deputy Manager to ensure meetings are diarised, agendas are produced and minutes taken for all meetings including staff, residents and relative meetings.
