HR and Estates Administrator

**Job summary**: The role provides administrative support for all HR work including recruitment, training and development, performance management, conditions of employment and employee relations. To oversee the maintenance and health and safety of the 3 SHP sites (Highlands Practice, Jubilee Surgery and Whiteley Surgery).

**KEY/MAIN RESPONSIBILITIES**
**Job responsibilities**:
- Maintain employee records according to policy and legal requirements ensuring filing is kept up to date
- Be actively involved in recruitment by assisting in chasing of documentation.
- Ensuring that all HR files for staff working within the Organisation have met the CQC requirements
- Ensure all mandatory training for staff is completed in the given time scale, logged and any issues brought to the attention of management
- Carry out general administration tasks for the HR Department, for example, sorting post, telephone answering, devising standard Human Resources documents and letters
- Provide administrative support at meetings as required by taking and producing minutes
- Ensure an up-to-date and complete bank of job descriptions and person specifications are maintained.
- Assist in ensuring sickness, annual leave and absences are recorded electronically for staff members and managers alerted to any triggers.
- Ensure Bright HR is maintained with up-to-date information
- Oversee the maintenance over the 3 sites and action as necessary
- Ensure fire alarms, water testing, fire extinguishers, emergency lighting pat testing are all carried out as necessary
- Ensure yearly calibration is carried out for all three sites
- Take charge of all health and safety responsibilities as requested by line manager
- Any other duties as requested by your line manager
- Assist in ensuring all employees have access to the Employee Assistant Programme, Cycle to work Scheme and Spec Savers eye care.
- Assist in the handling of disciplinary investigations, hearings, appeals and grievances

**STATUTORY AND MANDATORY TRAINING**
- Sovereign HP will assess the requirements for Statutory and Mandatory training for all new staff prior to commencement and aims to ensure that all Statutory and Mandatory training requirements are completed during the first 2 weeks of commencement.

- All employees are expected to follow consistently high standards in the prevention and control of infection, especially with reference to hand hygiene, adherence to dress/uniform code and for clinical staff all procedures involving aseptic technique. Participate in mandatory training and annual updates. Protecting patients from infection is everyone’s responsibility.
