A rare and exciting opportunity has arisen for full time Band 3 Administrator to join the Dorset Work Matters Team.
The Dorset Work Matters service is jointly delivered by Dorset HealthCare NHS University Foundation Trust and the Dorset Mental Health Forum, to provide evidence-based employment support to people with enduring mental health problems.
Working under the direction of the IPS Project Lead to provide a friendly, safe and efficient administrative and office systems service to the wider Dorset Work Matters team, in the delivery of the Individual Placement and Support (IPS) service.
The administrator will work directly with all relevant stakeholders including but not exclusive to Partnership Senior Leadership Team members and Managers, Team Leaders, Employment Specialists, the service user, Community Mental Health Teams and Department of Work and Pensions.
You will ensure that client and any contacts with the service are dealt with in a friendly, empathetic and professional manner and help provide the clients with a positive experience.
Deal with confidential, contentious, and urgent material proactively in a sensitive and appropriate manner, exercising analytical skills and sound judgement.
Work as part of an efficient and professional Employment Specialist team systematically and develop communication networks that contributes effectively to the service provided by the Dorset Work Matters team.

Demonstrate a high level of discretion and confidentiality while ensuring that responses to deadlines are met and delivering clear and accurate information.
Ensure letters, memorandums and reports are of a high quality and are complete in terms of presentation and accuracy and adhere to Trust Policy and guidelines.
To accurately maintain records including computerised systems, databases and spreadsheets.
Able to work on own initiative, without supervision, and to prioritise and manage own workload, ensuring that service objectives and targets are met.
To organise and prioritise routine and non-routine workload, liaising and communicating with colleagues to maintain a team approach. To have input into developing, organising, and implementing new office procedures and improvements to the administration service.
Organising meetings as and when required, inviting appropriate persons, producing agendas, attendance lists, organising venues, catering, taking and transcribing minutes.
Attendance at Multi-Disciplinary Meetings as and when required.
To provide an efficient timely filing system; both paper and electronic to include archiving of records.
To compile, collate and present data electronically when required for audit, with due regard to confidentiality.
To monitor and order stock for the service.
Process incoming and outgoing mail, ensuring envelopes are appropriately addressed and incoming mail is date stamped. This includes scanning documents onto electronic patient system.
