**Key Responsibilities**
- To implement procedures and operating systems to enable all members of the reception team to give the best service to patients/clients.
- Supporting patients and managing workload when appropriate using ‘Ask my gp’ (online patient appointment system)
- To welcome to the surgery and book in patients on arrival for appointments either directly or by assisting them to use the automated booking system
- To ensure that enquiries from patients are handled efficiently and courteously
- To make appointments for patients using the computer system and in accordance with agreed guidelines
- To answer the telephone, and redirect calls
- To take accurate messages and forward to appropriate staff member
- To prioritise calls and patient requests in accordance with guidelines e.g. urgency of phone calls and need for appointments
- To deal with requests to register patients and temporary residents ensuring that the correct procedures are adhered to in accordance with guidelines
- To receive deliveries to the practice and to notify the appropriate member of staff for collection/checking
- Advice patients of relevant charges for private (non General Medical Services) services, accept payment and issue receipts for same.
- Enter patient information on to the computer as required.
- Patient notes and correspondence:

- Retrieve and re-file records as required, ensuring strict alphabetical order is adhered to
- Ensure correspondence, reports, results etc. are filed promptly and in the correct records, ensuring that all recent correspondence is available when patients are seen.
- Ensure records are kept in good repair, with all necessary information on the outside cover clearly visible.
- Process patients’ changes of address - computer data and medical records (have knowledge of practice area).
- To process and issue repeat prescriptions in accordance with agreed guidelines
- Ensure that all new patients are registered onto the computer system promptly and accurately
- **Premises**:

- Open up premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations to receive patients.
- When last to leave at the end of the day, ensure that the building is totally secured, internal lights are off and the alarm activated

**Administration duties**
- To open mail, date stamp it and distribute to staff in accordance with guidelines
- Make up new patient files and maintain existing files ensuring that they are filed in the correct order according to guidelines
- To undertake any photocopying as required
- To inform patients of any changes via letter or phone
- To retrieve any patient file on request during surgeries as a matter of urgency
- To register patients according to guidelines
- Scanning and coding using practice protocols.
- To receive cheque and cash payments from patients in accordance with guidelines
- To be able to update patient demographic details
- Accurately file all patient information
- Input data on the clinical system, when required, in accordance with practice protocols e.g. immunisation and smears records
- To scan all patient information in accordance with guidelines
- To carry out admin support for reports and PCSA requests as required

**Information Technology**
- Use EMIS Clinical computer system
- Use computerised scanning equipment
- Ask My GP (on-line service)

**General Duties**
- Ensure that patient confidentiality is adhered to at all times
- Ensure that waiting room and reception area are kept tidy in order to promote a pleasant environment for visitors
- To attend and participate in regular team meetings as agreed with line manager
- To attend all appropriate training in agreement with line manager
- To adhere to practice guidelines and policies

**Job Types**: Part-time, Permanent

Pay: From £11.44 per hour
