**JOB SPECIFICATION**

**Job Title**: Office Administrator

**Based at**: Mortec Office Park York Road, Leeds

**Reporting to**: Senior Management / Directors

**Profile**

An enthusiastic sen io r member of the team responsible for managing the office administration and delivering administrative support to the Directors and Senior Management team. An efficient and professional style is required to ensure a positive and lasting impression of the business.

A flexible attitude to the scope of the role, initiative and an ambition to progress during a period of significant growth is essential to maximize the extent of the contribution that can be made. There will be times when the office is solely occupied so self-motivation is important along with a calm and professional manner during busier times, with the ability to prioritise accordingly.

Qualsurv has a small but very committed team and the Office Administrator plays an integral part in supporting that team, and leading in some areas. There may from time to time be additional duties that are required that do not feature on the job spec and a degree of flexibility is required to offer this support.

**Key Responsibilities**

**General Office Management**

1. Answering and directing incoming calls
2. Booking meetings and making provision for visitors and directors
3. General admin as and when required for directors, members of the Senior Management Team
4. Ordering stationery and office supplies, corporate clothing etc.
**5. **Processing of all incoming post

**Accounts**

1. Monthly Corporate Card and petty cash reconciliations, attaining VAT receipts
2. Raise purchase requisitions, approvals and purchase orders
3. Management of expenses forms for senior management and staff
4. Management of private fuel expenditure records for staff with company vehicles

**Corporate Support**

1. Maintaining confidential files
2. Assist the Directors with control and monitoring insurance renewals
3. Support to the HR Manager on all personnel matters/administration for employees and consultants
4. Manage distribution of Company Management System and policy updates
5. Assist the Directors with management of registrations, subscriptions and licence renewals
6. Assist the Directors with management of office, vehicle and equipment leases
7. Liaise with company IT support to manage all software licences and renewals
8. Managing and monitoring the relevant ISO processes to ensure continued accreditation

**Qualsurv Environmental**

1. Maintain monthly sales summary.
2. Raise Draft Invoices
3. Maintain Client register and Client folders
4. Manage Vehicle insurance and Vehicle leasing and servicing
6. Arrangement of weekly travel and accommodation for Qualsurv personnel
7. Management of site diary for surveyors / analysts both
8. Preparation of Quotations / Chasing Purchase Orders / Instructions. Issue of site packs & documentation.
9. Set up projects on Start Software. Upload bulk sample results. Produce draft reports.

**Job Types**: Full-time, Permanent

**Salary**: £22,000.00-£25,000.00 per year
