**About You**

We are recruiting for a Warranty Administrator to work within our established Service department.

**Roles and responsibilities will include**:
Administer warranty policy in the best interests of the retailer, manufacturer and customer.

and goodwill procedures. To ensure accurate submissions of warranty and goodwill claims on a daily basis and monitoring daily and weekly warranty reports.

To ensure that jobs passed for warranty / goodwill submission are accurately invoiced and costed. Suggest improvements and corrective action to the Service Manager when deviations occur.

**Communication & Interaction**

Ensure any interpretation of warranty work and the policy on a warranty claim is clearly explained to the customer. Ensure courteous use of the telephone, adhering to company and manufacturer policies.

Maintain a high standard of dress and conduct at all times, and ensure the cleanliness of the reception area at all times. Presentation of the capabilities of the department to the customer as a contribution towards the reputation of the dealership and services offered. To inform all colleagues of forthcoming recall campaigns and changes in warranty / goodwill procedures.

**Administration**

To document all warranty, goodwill and recall work as per the manufacturer’s requirements and retailer policy. Also ensure that all repair orders are correctly completed and customers claims are processed fairly and in a timely manner to deliver outstanding customer satisfaction at all times.

Ensure all clerical functions within the warranty department are carried out in accordance with Company policy, to review warranty reporting systems with the Service Manager and initiate improvements where possible.

To keep records of warranty submissions, credits, rejections and customer contributions towards goodwill claims. Ensure that all documentation is processed accurately in a timely manner and stored safely and to preserve confidentiality. To complete the various administrative duties that are required on a daily, weekly and monthly basis.

To attend weekly departmental meetings and also ad hoc as required.

Comply with all D M Keith Limited policies and procedures

**Control of costs**

Warranty repairs to be authorised after inspection, or by agreement, in accordance with the manufacturer’s and retailer policy. Complete repair orders and inform customers of additional repairs needed including prices and delivery dates. Obtain written confirmation before ordering major units and obtain suitable deposits. To ensure the correct submission of warranty / goodwill claims to the manufacturer as per the guidelines.

To ensure that all parts replaced under warranty are retained for the correct time period, correctly labelled and made available to the manufacturer on request. Examine outstanding warranty debts on the weekly and daily reports and implement action to ensure recovery. To check the credit notes made out by t
