Take messages accurately and concisely and relay to the appropriate Community Nurse Specialist (HCNS) as quickly as possible. Make telephone calls on behalf of the community team as requested relaying information to patients, relatives or other healthcare professionals. To use initiative and ability to provide confidential recording and reporting of patient identifiable and sensitive data. Be the initial point of contact for referrals and ensuring, as the referral progresses, that all appropriate paperwork is completed and available.

Undertake administrative support for Bereavement Services including maintaining databases and spreadsheets and mail merges. The post will require the use, relaying and typing of specialist and medical terminology. Provide basic admin cover to IPU during absence of IPU Clinical Administrator. General Be able to work independently and on own initiative in relation to simultaneous tasks, some of which will be more complex.

Flexible to changing demands and take on appropriate administrative elements of new tasks, as agreed within the team. Manage inevitable work-related interruptions and unplanned events as they arise. Research and development Set up and manage databases and spreadsheets as required. Work on defined tasks that involve gathering and collating information and feeding back basic analysis to manager/s.

Be involved in elements of audit related to service activity. Administration Daily administrative duties including typing letters, reports, completing forms, maintaining databases, and spreadsheets. Maintain and manage off-duty and triage diary and maintain records of annual, and other leave for the clinical teams. Type reports of a difficult or distressing nature or regarding difficult decisions on occasions.

Take and draft minutes for managerial approval, following agreed layouts and formats; distribute after approval. Provide other administrative support to a variety of meetings, plus 1:1s and IPRs. Maintain & extend personal knowledge on software packages. General Responsibilities Work unsupervised as required.

Support any areas of the Hospice where workload dictates or expertise is required. Monitor and record workload and priorities. Maintain clear documentation and provide reports as required. Work unsociable hours if a task demands (with suitable notice).

Promote the work of the Hospice where possible. Personal Responsibilities Light physical effort is required and sometimes moderate is needed, eg carrying equipment within office areas. Maintain effective communications and good working relationships with professional colleagues, patients and relatives, staff, volunteers and work colleagues. Participate in relevant internal and external meetings as requested.

Report and record all accidents and refer any incidents or complaints to the line manager. Educational Responsibilities Participate in the orientation and development of new staff members and volunteers. Keep informed of sector-wide developments, attending internal and external meetings/training/conferences where appropriate. To keep up-to-date on legal, health and safety and insurance requirements and developments to safe guard Weston Hospicecare, our volunteers and service users.

Undertake training to extend and maintain current skills. Keep up-to-date with statutory and mandatory or other in service training. Keep up-to-date with current practice and legislation. Maintain and extend personal knowledge and expertise in all aspects of the role and to share information.

Professional Responsibilities Comply with the policies and procedures of Weston Hospicecare. Maintain confidentiality. Be familiar with fire, emergency and safety regulations, ensuring attendance as statutory updates. Participate in the performance review process.

Maintain a smart, professional appearance at all times in line with hospice policy. Maintain a responsible attitude toward economy and acre of equipment and other resources.
