To work as part of a clerical team to support a defined team of secretaries, clinicians, nurses and other healthcare professionals.

This support should be provided during the core hours of 08:30 to 16:30 unless otherwise specified at local level and should be aligned to the Direct Clinical Care time of the Clinical Team for whom they support.

The post holder will be required to work as part of the administration team and provide cross cover during periods of staff absence within their existing team and other teams within the Directorate as and when required.

Provide an efficient general administration day-to-day support to the department. Duties will include the collection and delivery of notes where necessary, Filing in Medical records, dealing with incoming and outgoing post, filing, scanning and other general administrative duties. Daily administration chores Waiting list, follow ups, Data base etc

Provide general administrative services as required by the department

Locate medical notes within a department or request them from other locations

Provide timely collection and delivery of medical notes when required

Assist in requesting copies of notes, investigations and results from internally and from other healthcare organisations

Filling letters and reports in medical notes promptly and cross reference whenever necessary and general office filing

Receive and sort daily post, date stamp and distribute if required

Photocopying, scanning and posting documentation

Deal with telephone enquiries within agreed limits and take appropriate actions

Assist with administration and update the relevant databases and patient information systems

when required - booking patient follow ups appointments;
Prepare case note folders and complete necessary documentation for all new patients

Liaise with other hospital departments, GPs and other health care agencies when required

Provide cross-cover within team during absence and implement relevant organisational policy on attendance management, staff appraisal, etc

The post holder may be required to carry out other relevant duties as required

The post holder will be expected to participate in the Trust’s objectives, contractual obligations and governance agenda.

The post holder will make themselves familiar with, and adhere to, at all times, the policies and procedures of the Trust

The post holder will adhere to, at all times, any Professional and NHS Code of Conducts for their area of work.

The post holder will be expected to work to any Directorate/Department objectives and standards set in order to provide an acceptable level of service.

The post holder will act, at all times, in a courteous, dignified and respectful manner when dealing with patients, staff and visitors to the Trust

The postholder will be expected to undertake training, including mandatory and role specific training, relevant to their role and ensure it is renewed as required.
