As our Facilities co-ordinator, you will fulfil a very varied and busy role, ensuring that our UK Estate is kept to a high standard providing a safe, functional, and happy place for our people to work. You will be proactive in ensuring continuous improvement of our UK workspaces, demonstrating the ability to identify and prioritise site requirements. You will act as a key point of contact for any issues and queries and be able to direct them to the relevant support team. You will report to the Head of Real Estate and Workplace and will be part of the wider People and Culture Team.

Due to the nature of this role, you will be site based at our Head Quarters in Abingdon

**Responsibilities**:

- Real Estate - Project support for office relocations/changes, assist with space planning and/or move management, interior design and space planning, space management tooling and administration, on-demand workplace user profile set up/training/invoicing.
- Workplace - Induct new starters with building processes and office familiarisation, preparing monthly utility results and tracking spend and consumption, providing meter readings where required and contribution to energy reduction initiatives, contribute to the creation of workplace policies and ways of working.
- Facilities - Responsible for the Facilities Helpdesk inbox, ensuring all requests are actioned in a timely manner, supervise maintenance contractors and suppliers ensuring all work is carried out in accordance with regulatory requirements, manage identify and collate requests for minor works on site and subsequently manage the implementation and completion of works to the highest standards. Support the FM Managers with PPM scheduling and reactive work requests.
- Sustainability - Collating and tracking key data for ESOS and SECR (annual report), supporting waste and packaging compliance regulations, and providing admin support the HR ISO accreditations (14001/45001) and for the EDI networks.
- Travel and Fleet - Administer the company fleet and driver management systems, administer the company Travel Management systems implementing solutions for group rate reductions and reporting.
- Front of house - This role is office based 5 days per week, a full end to end review of the FoH function is required along with and recommendations for improvement. Sort collate and distribute all mail, log and record all mail transactions on appropriate trackers, coordinate the catering for internal or external meetings of staff and visitors as required by the various departments and the management of all meeting rooms and shared facilities. To effectively procure and manage the use of office supplies and stationery.
- Other - Obtaining quotes, raising purchase orders, validating and goods receipting invoices and other ad-hoc duties when required.

**Experience**:

- Must be service oriented with a client-focused approach to work, can solve problems, and be solutions focused.
- 3-5 years facilities experience within a corporate setting (working in a global team - preferred)
- Ability to manage multiple and varied tasks with enthusiasm and prioritize workload with attention to detail.
- Ability to work in cross-functional areas.
- Excellent interpersonal, verbal, and written communication skills.
- Well organized, self-motivated, able to work on own initiative together with a hand on approach.
- Ability to work under pressure and at pace.
- Advanced MS Office skills (namely Excel and PowerPoint)
- A flexible attitude with respect to work assignments and new learning
