**Client Coordinator Information Pack**We are looking for a highly organised person with exceptional communication and project management skills to join our dynamic, friendly and fast paced consultancy, providing skillful client and diary management to the Mayvin team.

**Location**:UK, home-based working

Post-holder will be expected to travel within the UK from time to time for business meetings that predominantly take place in Brighton. The post-holder will generally be expected to attend these in person.

**Conditions**: Minimum 25 hours - Full time. Work pattern will be Monday - Friday.

**Salary**: From £25,000 per annum (Pro rata and dependent on proven experience)

**Benefits**: 25 days annual holiday pro rated. Company Contributed Pension Scheme.

**Reports to**:Head of Operations

**Principal purpose of the role**
- Client management providing relational management for multiple projects, administrative and logístical support including budgets / financial billing.
- Diary management to Directors / Consultants.
**General Responsibilities and Regulatory Compliance**
- Actively engage and cooperate with all Mayvin colleagues and support good connections and relationships within the wider Mayvin community (clients, partners, associates, suppliers and all other contacts)
- Support good internal communications through virtual meetings and use of Mayvin’s communication platform (MS Teams)
- Model Mayvin’s approach and core values in all aspects of the role
- Work within Mayvin’s policies, systems and procedural frameworks at all times
**Key Tasks**
- Client relationship management_
- Ensure warm and helpful client relationships
- Project manage a portfolio of client programmes and consultancy services:

- Build a strong partnership with relevant client contacts
- Work closely with the relevant Client Director, Operations and associates to ensure everything happens when and how it should
- Oversee all the financial and administrative aspects of the client relationship
- Hold the operational and logístical responsibility for programme delivery
- Plan and manage all support activities relating to all workshops and events
- Oversee programme dates, bookings, meetings, materials and logistics
- Organise and manage the production and distribution of all programme support materials including handouts, joining information, evaluations, including support as required for client programmes.
- Provide Tech support for virtual client delivery as required
- Liaise with programme participants in a timely and appropriate manner
- Liaise between the Head of Operations and Consultants on forecasting, invoicing and budgets
- Report detailed progress on quality and other operational matters to the relevant Consultants and Head of Operations.
- Diary Management and business support_
- Provide Diary management support to the Consultants
- Assist with travel arrangements and meeting room bookings
- Assist with formatting and proof reading of documents
- Organise and attend the weekly team call and business meetings
- Workload planning_
- Assist with workload and capacity planning
- Office and information management support_
- Deal with incoming calls and correspondence
- Help maintain Mayvin’s databases
- Help maintain Mayvin’s e-filing system
- Marketing support_
- Develop a strong understanding of Mayvin’s brand, approach and programmes
- Act as brand champion: ensuring all communications and materials across all of Mayvin’s activities reflect Mayvin’s brand
- Such other duties as may be reasonably required from time to time including taking a collaborative approach to activities across the business._Person Specification

**Essential Skills Required**
- Must be proficient in MS office programmes, especially Excel, Word and Powerpoint. Experience in MS Teams and Sharepoint Desirable.
