Reception Administrator

Permanent Part-Time Contract (0.4FTE)

The responsibilities will vary from week to week depending on the pressures in the office, but there will be key and regular responsibilities:
Key Responsibilities
- To provide an effective administrative support service to teams enabling them to effectively deliver services to clients.
- To manage and be part of a process for keeping note of where staff are during the day when working in the community, including for client visits requiring risk management.
- To support the onboarding and inducting of new employees.
- To support with electronic diary management for staff, including scheduling meetings, organising away days and events, resolving diary conflicts, and arranging meetings.
- To support with ordering, storing, and distributing office supplies including stationary.
- Any other task that falls within the general remit of reception and administration.

Location

Elmore is based at 213 Barnes Rd, Oxford, OX4 3UT.

Hours

This is a part time role, 15 hours per week, on Thursday and Friday. Office hours are currently 08:30-17:00 Monday-Friday, and it is expected the 15 hours will happen within these times. There may occasionally be out-of-hours working, such as attendance at Board meetings or events. Punctual attendance is essential in this role.

We consider that the following experience, skills, abilities, and attitudes are essential for this post.

**Experience**

1. Experience of working in a busy office administering HR functions and general administration.

2. Experience of a reception dealing with a range of people who may at times show challenging behaviour (at Elmore, this will include vulnerable clients and families, referrers and partner agencies, funders, and other stakeholders).

**Skills and Abilities**

3. Organised and efficient administration with an eye for detail and the ability to prioritise.

4. Professional telephone manner (including the ability to communicate with a wide range of people, and to deal with callers who may be distressed, in a sensitive manner).

5. Ability to communicate clearly and effectively and to a high standard of English, both verbally and in writing.

6. Knowledge and sensitivity to the needs of people living with mental and emotional health problems (or the willingness to learn).

7. Good numeracy and computer skills, including the use of Microsoft Office, and a knowledge of or willingness to learn Microsoft Office 365 (SharePoint and OneDrive).

8. Ability to work under own initiative seeking advice and support when appropriate.

9. Ability to work within Elmore’s policies and procedures including Equal Opportunities and Confidentiality.
