We are currently recruiting an Administration Assistant for our rapidly expanding company. You will need to have experience working in a fast-paced office environment, dealing directly with members of staff and members of the public.

The Administration Assistant will be responsible for the immediate day to day office duties, including both Nursery and Out of School Settings (OOS), but not limited to:

- Answering the telephone for both nursery and OOS, ensuring each call is logged and messages are delivered promptly, along with Answerphone messages.
- Receiving and distribution of external mail
- Maintaining accurate records of all children (OOS), bookings and if necessary, waiting lists both manually and on our database.
- Update all enquiries both Nursery and OOS, sending appropriate information, booking call backs and/or showarounds.
- Produce and process invoices for OOS, daily (ad hoc bookings), holiday clubs and shift pattern bookings following company guidelines.
- Posting all PayPal payments.
- Ensure all accounts are paid within terms and conditions / credit control
- Photocopying and scanning as required
- Archiving records in line with General Data Protection Regulations
- Assisting Club Managers with daily admin duties as and when required
- Communicating with parents with accurate information
- Maintain stationery / cleaning / first aid stocks for both Nursery and OOS - re-ordering as required
- Aid with Social Media Posts for both Nursery and OOS.
- Updating website with tickets for adhoc booking / holiday clubs.
- Perform any other duties required by the Manager.

Training will be provided for all systems and procedures.

Personal Specification

Essential Criteria
- A minimum of 1-year administration experience
- Strong oral and written communication skills
- A pleasant phone manner
- Ability to work effectively under pressure demonstrating strong organisational skills.
- Good numeracy, skills and adept in Microsoft Excel, Word, and data bases.
- Ability to communicate with impact and empathy
- Ability to meet agreed targets.
- Ability to prioritise own workload whilst working to deadlines, either as part of a team or individually, using own initiative
- Ability to follow instructions, systems, and procedures accurately
- Attention to detail and adherence to processes.
- Ability to work as part of the team, and with external partners.
- Ability to creatively advertise the services we provide.

Desirable Criteria
- Experience of working within a childcare environment.
- Credit control experience

**Job Types**: Part-time, Permanent

**Salary**: Up to £11.50 per hour

Expected hours: 20 per week
