**Property Assistant**
- An excellent opportunity has become available for a Property Assistant looking to develop their career and specialise in Commercial Property. _
- This role will suit a highly organised individual currently working within the Property industry, looking for that next step in career progression, with a keen eye for detail and accuracy when dealing with preparation and management of leasing contracts and associated paperwork. _
- Working as part of the Asset, Property Management and Investment team of the business your role will involve supporting the Property Director on a day-to-day basis, with additional support to the wider team as required._

**Job Purpose**

To provide effective, efficient, and complete day to day co-ordination and administrative services and support for the Property Director including document preparation and management, database updates, enquiry co-ordination, tracking and marketing assistance, working with the Property Director, and other members of the Property Team located across both regions of the business as well as providing cover and support to the wider Investment team when required.

**Principal Accountabilities**

Undertake day to day tasks including but not limited to:

- Diary management, arranging viewings, meetings, and event scheduling.
- Property administration including typing up documents and managing templates.
- Arranging/Co-ordinating viewings or liaising with the appointed agents.
- Assisting the PD to ensure all availability schedules are up to date.
- Database management including the production of accurate reports, trend analysis and the accurate upkeep of all data. Chasing enquiries and following up viewings as directed by the PD.
- Assisting the PD with the preparation of all property related marketing literature. Including the upkeep of all information on the company website, brochures, site boards, agent marketing information.
- Assist in compiling reports for key events and information.
- Assisting with post completion activity tasks.
- Draft up Heads of terms, Section 25 notices, leases, and any other documents as requested.
- Attendance on site as and when directed by the PD to meet with contractors, agents, tenants etc.
- Chasing tenants, agents and solicitors for updates on all transactional matters as directed by the PD
- Assist the PD with the co-ordination Health and Safety responsibilities ensuring all obligations and requirements are met and all information is up to date and readily available. Working under the direction of the Directors, and alongside our Health and Safety advisors to always ensure compliancy.
- Manage the archiving system by ensuring information held is relevant and stored correctly.
- Raise and issue purchase orders and new supplier forms.
- Approve invoices as per the approval guidelines and raise recharges.
- Assist with the preparation of reporting for internal meetings, or on behalf of external clients.

- Database management including the accurate upkeep of all data.
- Undertake any other tasks which are reasonable in relation to the skills, knowledge, and experience of the employee.

- Work using safe working methods and demonstrate a duty of care to yourself and other employees, clients, and other external parties.

**Person Specification**
- **Key qualifications, skills, and experience**:_

**Essential**:

- Highly accurate and numerate
- Good communication and organisational skills.
- Confidence in liaising and negotiating with third parties, such as solicitors, agents, tenants and suppliers at all levels within an organisation, verbally and in written format.
- Capable of working on own initiative using tact and diplomacy.
- Excellent telephone manner.
- Accountable and sense of urgency.
- Confident, professional, and sociable manner.
- Flexible, hands-on, can-do attitude
- Excellent IT skills: expert level competency in using MS Office products (specifically Word and Excel).
- Car owner with full clean driving licence

**Preference**:

- Previous experience working within the Commercial Property industry.

**Salary**: £24,000.00-£26,000.00 per year
