Transport Coordinator - 20 Hours weekly

**LINE MANAGER**:KingsCare Manager

**JOB PURPOSE**:To be responsible for all matters relating to transport.

**RESPONSIBILITIES**:
Organise all patient transport, recruit and manage volunteer drivers, keep up to date with relevant legislation, vehicle maintenance safety checks and insurances, foster good relationships with other transport organisations, attend relevant meetings.

Maintain patient and service monitoring records.

**SALARY**:£11.44 per hour.

**KEY TASKS**:
**These will include but not be limited to**:

- Managing the full range of requests for transport, demonstrate a professional focused approach when dealing with telephone calls and visitors to KC. This will include ensuring all calls are answered in a timely manner, with messages being relayed to individuals promptly.
- Be available to drive patients to and from appointments as required including those in wheelchairs when volunteers cannot be found.
- Ensure vehicles are kept clean and tidy.
- Work with trips organiser to organise KingsCare minibus outings and the minibus booking diary.
- Be responsible for income related transport movements and driver expenses.
- Maintain referral and case records required by KingsCare.
- Participate in transport forums.
- To produce, collate and distribute transport services performance information in accordance with Devon Transport forum requirements. Keep client database up to date with patient movements and contact details.
- Recruit, train and develop and support volunteer drivers and organise relevant training.
- To liaise with Trustees and the Practice as directed by the Manager.
- Keep abreast of new developments particularly with regard to patient/volunteer health and safety.
- Take lead in identifying future vehicle requirements and support fundraising efforts.
- To carry out general administrative tasks as directed by the Manager across all areas and particularly as detailed in this job description.
- Maintain a flexible approach to organising work to ensure needs are met at times of peak demand.
- Uphold KC’s vision, mission and values through words and actions, raising the profile of KC and promoting its cause. To be familiar with and uphold KC’s policies and procedures.
- To notify the manager of any occurrences which may affect the service or reputation of KC.

**Essential Skills**

**Qualifications**
- Good general education
- Clean Full driving licence

**Experience of**
- Demonstrable experience of working to a high standard of administrative effectiveness
- Coordinating transport services or similar

**Skills**
- Ability to communicate assertively at all levels, both orally and written
- Ability to liaise effectively with other employees and volunteers
- Ability to prioritise a busy workload
- Management of own administration, filing and record keeping
- Ability to produce clear reports, letters, training materials and other documents.
- Ability to work independently on own initiative and constructively as part of a team
- Excellent IT skills, proficient in the use of MS Office

**Knowledge of**
- To understand and embrace the importance of providing an effective service
- Basic legislation surrounding driving, providing transport services for 3rd parties
- To be familiar with and uphold KC’s policies and procedures including Health and Safety and Equal Opportunities

**Circumstances**
- To travel to other sites for the purposes of meetings, training.
- Hold a current driving licence, have access to a roadworthy vehicle and have appropriate car insurance for the purpose of the job role.

**Job Type**: Part-time

Pay: £11.44 per hour

Expected hours: 20 per week
