**About the Role**:
Reporting to the Concerts Manager, the Concerts Coordinator** **is part of the wider Classical Team at The Glasshouse International Centre for Music.
A key member of the concerts team, the Concerts Coordinator will assist the Concerts Manager and wider Classical team with the administration and operational details of all core Royal Northern Sinfonia concerts at The Glasshouse, regionally, nationally and internationally, and other elements of the Classical Programme including Visiting Orchestras and Piano Greats.
**Main Duties and Responsibilities**
**Concert management**
- Act as Artist Liaison for Visiting Orchestras and Piano Greats as required.
- Prepare dressing room signage and ensure dressing rooms are prepared and ready including water, tea and coffee, irons etc.
- Work with the Assistant Orchestra Manager to look after the Principal Conductor’s dressing room and facilities.
- Work with the Assistant Orchestra Manager to manage and maintain the Classical team’s backstage resources including kettles, irons etc., and Green Room supplies.
- Oversee catering requirements for Visiting Orchestras, Ensembles and Piano Greats.
- Work with the Assistant Orchestra Manager and/or Concerts Manager to arrange refreshments at external venues for RNS and Visiting Orchestras.
- Deputise for the Concerts Manager at Weekly and Daily Operations meetings as required.
- When required, duty manage rehearsals and concerts both at The Glasshouse and externally.
**Administration**
- In conjunction with the Concerts Manager, prepare and issue artist and management schedules for all events, including personnel lists and contacts.
- Liaise with the Classical Administrator and Projects Assistant to confirm travel and hotel requirements and any necessary car transfers for visiting artists.
- Book external rehearsal venues.
- Hire pianos for rehearsals and concerts at external venues.
- Book piano tuning for rehearsals and concerts at The Glasshouse and externally.
- Liaise with orchestra members about travel plans for chamber music projects in line with the RNS/MU Agreement.
- Compile the duty rota and liaise with the Marketing team on the front-of-house resources for regional touring programmes.
- Book all necessary resources on Artifax for Royal Northern Sinfonia core concerts, Visiting Orchestras, Piano Greats and any other concerts as required.
- Collate personnel lists for all concerts to be shared with ICT for uploading into the sign-in system at Stage Door.
- Input expenditure into the Finance Tracker as necessary.
- Complete credit card returns for the Head of Artistic Planning and Concerts, and the Concerts Manager.
- Ensure that the Arts Vision address book and contacts are kept up-to-date.
- Liaise with the Classical Administrator and Projects Assistant about artist and agent ticket requests for concerts at The Glasshouse, and organise ticket requests at external venues.
- Arrange last minute local travel requests for artists.
- Book restaurants for post-concert events and artist entertaining.
**Other Duties and Responsibilities**
- Assist the Classical Marketing team with the printing and preparing of concert programmes.
- Provide regular assistance to the orchestra Librarian, including preparation of materials, as required.
- For concerts involving both the Chorus of RNS and RNS, provide support to the Chorus Manager.
