A fantastic opportunity has arisen for a hardworking and proactive individual to join the scheduling team within the Urology Department to deliver our inpatient service.
This post holder will be responsible for the day to day management and full utilisation of all theatre lists, ensuring that all targets are adhered to and met.
You will need to demonstrate good communication, organisation and prioritisation skills and be able to work on your own initiative under mínimal supervisor.
The successful applicant will be a team player, but also able to work individually. You will be a confident and clear communicator possessing excellent computerised data management and verbal reasoning skills. We are seeking an enthusiastic individual who can demonstrate excellent attention to detail and accuracy and experience in prioritising workloads.
- To understand and proactively manage, with the consultants, the elective surgical waiting lists
- To book elective patients into appropriate theatre slots, taking into consideration both clinical urgency and time on waiting list.
- To book pre-assessment appointments in a timely manner and adjust list as required if any patients fail pre-assessment.
- To co-ordinate any special requirements, e.g. ITU beds, transport, other surgeons for joint operations, etc.
- To liaise with Theatres to be aware of any patients cancelled on the day or who did not attend and to take the appropriate action to rebook or discharge.
- To work closely with the PPWT team to ensure that funding for specified theatre procedures is appropriately sough in accordance with guidelines.
- Provide an efficient and polite service to patients when booking appointments and/or day-care procedures, and work collaboratively and co-operatively with others to meet the needs of the patients and their families.
- To support patients, General Practitioners, purchasers and consultants.
- Take responsibility for the accuracy of patient data in accordance with guidelines
- Assist in meeting hospital targets for outpatient and RTT waiting times including all cancer referrals and to comply with all hospital policies including Data
- Assist in the training and mentoring of new staff and to attend all mandatory training

Key Responsibilities
Ensure that all TCIs are downloaded from GCIS and updated on iCS (or any other Trust systems) within three days.
- Ensure that elective theatre lists are compiled and updated on iCS (or any other Trust systems) and reviewed /signed off by the relevant surgical teams.
- Contact patients offering them a choice to dates and agree with them the date in line with the Trust Policy
- Create a waiting list entre for patients requiring admission
- Schedule patients appointments ensuring patient are fully booked on iCS and ensure a confirmation letter is sent or that patients are telephones if booking at short-notice.
- Ensuring that theatre lists are fully utilised and patients are dated in chronological order or in order of clinical urgency
- Book HDU and ITU beds according to the nature of the procedure or if requested by the Surgical team
- Undertake the booking of elective admissions for cancer patients and liaise closely with Cancer MDT Co-ordinators to ensure that these are scheduled appropriately within the cancer pathways targets
- Book new appointments for Pre-operative assessment (POA) at least two weeks before surgery, ensuring that capacity is proactively and efficiently uses and patients booked in advance of surgery.
- Ensure that any instructions that have been communicated from the pre-operative assessment are action
- Re-book patients in line with the 28 day cancellation breach date guidelines if cancelled on the day by hospital
