Customer Service Administrator

**Definition**:
To effectively support a successful customer accounts function in a fast-paced environment. Responsible for maintaining relationships with customers through taking sales and customer enquiries, ensuring an excellent standard of service to customers.
**Purpose**:
This customer-facing role requires the individual to possess the ability to work with customers and colleagues in a professional, courteous and proactive manner. To progress customer orders in an accurate and timely manner. Actively demonstrate a professional image during all interaction with customers and colleagues. To use initiative and to work well on own or as part of a team. To provide effective, accurate administrative support to sales and any other department as required. This will include accurate data entry to generate run tickets, generate and process documentation for the exporting of waste materials, and efficient transport routing.
**Scope of the role**:
Accurate and timely processing of all customer orders, queries and enquiries.
To answer the telephone in a timely, courteous and professional manner at all times in line with Company requirements and to direct calls or take messages as required.
To build and maintain professional working relationships with all customers, sales personnel and colleagues.
Work with customers and internal departments to ensure that agreed service requirements and dates are met.
To effectively administer and communicate customers’ needs and requirements to all relevant parties and to be prepared to go the “extra mile” to ensure a satisfactory outcome to all concerned.
To develop knowledge and understanding of the different metal types and commodities in order to quote prices for customer enquiries.
Administrative tasks, data entry and support to sales/transport and other departments as required.
Actively promote and market the Company and its services, ensuring that all potential sales leads and enquiries are managed in line with the Company’s expectations.
To actively carry out efficient and timely administrative assistance and to seek out opportunities to review and suggest improvements to processes and procedures.
To clarify with customers which type of service or size of skip they require, determine time periods and quote relevant prices accordingly.
To enter all information relating to the sale onto the database in order to generate correct run tickets.
To liaise with the Sales and Transport Manager to co-ordinate routing of transport for skip delivery and collections.
To liaise with the Transport Manager in relation to generating and processing the correct documentation for transportation of waste materials.
To assist with the raising of consignment notes for hazardous waste, obtain quotes for disposal and prepare for shipping including the arrangement of transport.
To ensure that all working practices and procedures are compliant with site licences and all other relevant regulations and guidelines.
To possess a flexible attitude to requests to work outside of contracted hours as deemed necessary by business needs.
To provide cover during times of absence as directed by Manager or Company.
Ensure that Duty of Care is exercised in respect of own, and others, safety. To co-operate with Management in complying with statutory Health & Safety duties, with particular reference to risk identification, risk assessment and risk participation.

**Qualifications & Experience**:
A good standard of education with a minimum of GCSE English and Mathematics at Grade A-C or equivalent
Previous Customer Service experience in an administrative role.
Experience of working in a busy customer environment with competing priorities & demands.
