An exciting opportunity has arisen for an apprentice position within the Nursing and Quality Directorate.

We are looking for an enthusiastic, motivated, and hard-working individual to join our administration team to provide an efficient and effective service to support the smooth running of the Nursing and Quality Directorate.

The role will involve general administration duties, along with a wide range of office procedures and engagement with colleagues across the Trust. In return the apprentice will receive support and training, which upon successful competition of assessment, will lead to a Level 3 Administrative apprenticeship.

The period of training is fixed term for eighteen months and on successful completion we will support the individual to seek permanent employment within the Trust if available. The apprenticeship is working full time (37.5 hours/week), Monday to Friday, at a location within one of the Trust’s bases, in either Lincoln (St George’s Hospital Site) or Sleaford (Unit 8/9, The Point).

To cover for other administrative support staff during periods of absence.

To provide efficient and effective administrative support service to the Quality Senior Leadership Team.

To answer incoming calls in a prompt and friendly manner, some of which may be non-routine and may involve information of a sensitive nature. To connect caller to desired member of staff, another appropriate person or take a message.

To gain an understanding of the key areas of the Trust and be able to deal sensibly with queries and direct callers to the correct person/department.

To follow established process with regards to allowing entry to the building, including processing of staff Smartcards.

To keep internal telephone directory up-to-date and distribute to staff. Including updating the fireboard in the building.

To perform routine office procedures including typing of letters and other documents as delegated by the Quality Senior Leadership Team, opening, and distributing correspondence, photocopying, scanning, filing and faxing in accordance with current trust procedures.

To co-ordinate the booking of meeting rooms and the provision of hospitality for meetings.

To co-ordinate and make travel arrangements as directed by the Quality Senior Leadership Team.

To prepare and process documentation in respect of electronic ordering, receipting (GRN) and payment of goods and services, in accordance with Standing Financial Orders.

To provide general administrative support in the smooth running of the Quality Senior Leadership Team, including building administration, the ordering and distribution of stationery supplies, processing of internal and external mail and ensuring the meeting room is serviced appropriately for meeting bookings.

To be confident and competent and possess advanced keyboard skills in order to operate and navigate Microsoft Office packages.

To support the PA to the Director of Nursing and Quality and the Trust Chair with administration tasks.

To provide administration cover to other areas of the Nursing and Quality Directorate and undertake other ad hoc duties commensurate with the role as required.

To participate in the supervision process, undertake mandatory training and comply with the Trust's policies and procedures.

To ensure patient and staff confidentiality is maintained at all times adhering to Tru
