The Bone and Soft Tissue Sarcoma Service at The Royal Orthopaedic Hospital NHS Trust is one of only 5 hospitals in England and Wales to hold a nationally commissioned contract for the diagnosis and treatment of these rare tumours. The post holder will need to be highly competent in Microsoft Office and in managing an admitted wait list. You will be required to liaise and co-ordinate with other services and providers to ensure that everything is arranged for the patient’s surgical procedure, often to tight timescales for patients on a cancer pathway. You must have excellent grammar and medical terminology skills.
**The role includes responsibility for**:
- Providing the essential links between clinicians and patients to ensure they are treated promptly.
- Good communication and organisational skills are essential as patients often need to attend quickly following MDT
- Waiting list and diary management for the designated consultant
- Knowledge of and adherence to national cancer waiting times and RTT rules
- Liaising with other NHS organisations regarding patient diagnostics and admissions

Manage Consultant’s day to day secretarial work, with regard to typing of correspondence, organisation of diary, outpatient clinic and theatre commitments.
To work as part of a team taking a lead role in providing secretarial support for the consultants and junior medical staff in the team, with particular responsibility for ensuring clinical correspondence (clinic tapes, imaging reports, discharge summaries) is produced in a timely fashion as delegated by Patient Access Manager for Secretarial Services.
To coordinate the junior secretarial support staff in the team.
Liaise with scheduled care list coordinators to ensure theatre utilisation is maximised and patients are treated within nautical targets.
To deputise in the absence of the Patient Access Manager.
MAIN DUTIES AND RESPONSIBILITIES
1. To assist with the typing of all correspondence relating to outpatient and in patients, as well as typing departmental correspondence.
2. Regularly liaising with Patient Access Manager for Secretarial Services to ensure departmental key performance indicators are achieved.
3. Managing consultant’s diaries, booking meetings and taking minutes where appropriate.
4. Arrange patients new and follow up appointments as required using PAS system and liaison with appropriate departments.
5. Receive enquiries from patients and staff, resolving enquiries of a more complex nature and dealing with as appropriate.
6. Liaise professionally with all departments regarding admissions, waiting lists, ad hoc ward attenders and cancellations ensuring hospital policies are adhered to.
7. To provide cross cover for secretarial team during annual leave and sickness.
8. To validate weekly primary targeting list (PTL) as delegated by the Patient Access Manager for Secretarial Services.
9. Co-operating in the introduction of new procedures, policies or technology, assisting managers in its implementation.
10. To set up and maintain filing systems ensuring all documents are accurately and are appropriately archived.
11. To obtain investigation results and exercise judgement to ensure that medical attention is urgently drawn to histology/imaging and urgent telephoned results and all results are filed in the patient’s records.
12. Compiling and maintaining up-to-date secretarial job plan/cover folder for secretarial team.
