Trainee Office Administrator

Responsibilities: - Perform various clerical and administrative tasks to support the smooth operation of the office - Answer and direct phone calls in a professional and courteous manner - Greet and assist visitors, ensuring they have a positive experience - Maintain office supplies and inventory, placing orders as needed - Organize and schedule meetings, appointments, and travel arrangements for staff - Prepare and distribute correspondence, memos, letters, and forms - Conduct data entry and maintain accurate records - Assist with basic bookkeeping tasks using QuickBooks or similar software - Manage filing systems and ensure documents are properly stored and easily accessible - Coordinate office events and meetings, including logistics and catering arrangements Qualifications: - Proven experience as an office administrator or in a similar role - Strong organizational skills with the ability to prioritize tasks effectively - Proficient in using Google Suite (Docs, Sheets, Slides) for document creation and collaboration - Excellent clerical skills, including typing speed and accuracy - Familiarity with data entry processes and attention to detail - Knowledge of QuickBooks or similar accounting software is a plus - Ability to handle confidential information with discretion - Excellent phone etiquette and communication skills, both written and verbal - Ability to adapt to changing priorities and work well under pressure - Proficient in computerized systems for office management Note: This job description is intended to provide a general overview of the position.
