As Team Organiser/PA at Meller Speakman you will provide administrative support to the management team members involved with the HS2 Agricultural Land & Property instruction. This will include but not be limited to - general organization of instruction, management of file/case lists, managing/uploading data to secure portals, coordinating meetings, shared diary management and managing the project to a high standard, within timescales and to ensure the collective team is high functioning.

**YOUR KEY RESPONSIBILITIES**
- Provide comprehensive administrative support
- Produce, collate information, organize and ensure the distribution of papers / reports in advance of meetings
- Update and maintain databases and systems to ensure effective functioning of Meller Speakman’s collective team
- Attend meetings as required
- Action logs following meetings in agreed formats
- Distribute minutes to stakeholders
- Attend team briefings / individual reviews and take minutes
- Follow up on agreed action items from meetings
- Advise team members of actions from meetings and monitor progress
- Assist with the supply of information required to complete actions arising from meetings
- Manage ad-hoc tasks/projects as requested by the team members
- Gather information, compile reports and maintain these to support the activities of the senior management team
- File all documentation effectively and maintain the document management system to ensure ease of access across the team
- Act as an ambassador for the Directors particularly during times of their absence from the office whilst ensuring that they are fully appraised of any important developments
- Take the initiative to identify and resolve problems as they arise to facilitate the smooth running and continuity of business
- Report to Directors regarding performance of team members
- Help to maximise productivity and increase efficiency
- Arrange travel as required

**YOUR KEY SKILLS AND QUALIFICATIONS**
- Excellent attention to detail
- Self-motivated, flexible, and enthusiastic
- Ability to complete various administrative tasks, including diary management, meetings and team administrative support
- Professional approach to successfully interact with clients and external suppliers
- Ability to manage and communicate with a range of stakeholders, including senior team members, managers and staff
- Excellent organisation and people management skills
- Experience of providing administrative support within a business environment
- Strong command of the English language
- Ability to prioritize and multitask efficiently
- Strong communication skills
- Working knowledge of Microsoft Office products (e.g. Word, PowerPoint, Excel)
- Act with discretion and tact
- The post-holder is expected to behave at all times with integrity, respect and as a leader

**Job Types**: Full-time, Part-time, Permanent

**Salary**: £25,000.00-£30,000.00 per year
