Paediatric Liaison Administrator

The post holder will be responsible for providing an efficient and high-quality admin service to the Paediatric Liaison Specialist Nurse.
The post holder will work in collaboration and cooperation with Paediatric Liaison Specialist Nurse to ensure that Hillingdon Community Health/CNWL, Hillingdon Hospital fulfil their obligation to children, Young People and Families who need Health Services including Safeguarding. This will include working with other agencies within and outside Hillingdon.

- Be responsible for arranging meetings and training sessions as requested, booking meeting rooms, and ensuring meeting rooms are confirmed and in order prior to use.
- Ensure filing systems are accurate and efficient, maintaining and updating files both manual and computerised.
- Co-ordinate meeting administration. This includes the preparation and circulation of agendas, taking and typing of minutes in a timely manner and any necessary follow up action.
- To be responsible for receiving enquiries [general and specialist], both in person and via telephone calls, in a polite and helpful manner, taking messages where necessary and ensuring they reach the appropriate person.
- To assist Managers on an ad-hoc basis with administrative duties and photocopying as necessary.
- To assist Managers in maintaining and sharing of information to relevant community service.
- To maintain diaries and arrange meetings as necessary.
- To be responsible for the efficient and timely preparation of all typing/word processing requirements, ensuring a high-quality service in accordance with in-house style and procedure.
- Ensure the timely distribution of incoming and outgoing post in line with organisational procedure.
- To be familiar with and use electronic systems as used by Hillingdon Community Health/ CNWL and The Hillingdon Hospital Trust.
- Ensure that workload is monitored and deadlines are met at all times.
- Develop and maintain a database of all work processed through the service and out of area attendance.
- To follow guidelines when distributing information to relevant staff members and named personnel within and outside the organisations.
- To participate in audits as and when required.
- To maintain an adequate stock of appropriate training materials.
- Maintain stationery supplies for the service.
- Confidentiality must be respected, due to the sensitive nature of the service area.
- To attend team and corporate meetings and to ensure compliance with Appraisal and Mandatory training requirements.
