Organising and planning events as necessary and producing supporting material. Supporting the digital team with project management and participating in team events. Acting as a point of contact, dealing and responding effectively with complex queries from stakeholders and passing on relevant information to appropriate team members sensitively and autonomously. Supporting meetings and workshops appropriately by preparing agendas, taking minutes and distributing notes of meetings including typing up of group discussions as necessary.

Maintain confidentiality of information at all times, including understanding responsibilities for I.G. across the range of workstreams. Additional : Manage and prioritise own workload. Understanding implications of requests and making decisions such as where to redirect urgent enquiries to resolve an issue in the absence of the Associate Director of Digital and the Digital Programme Support Managers.

Liaise with the Associate Director of Digital to formulate and maintain the agenda for the Humber Local Digital Roadmap Board and to ensure that reports and supporting papers are available ready for upload on the shared area. To ensure that all meetings are booked appropriately including travel time, types of venues, catering are booked and to follow up on attendance to ensure that meetings are attended by all relevant organisations. Current Covid rules to be adhered to. Remote meetings still require breaks between Act as an administrator for the Humber Local Digital Roadmap Board and attend and minute all meetings ensuring an accurate record is captured.

Ensure that all actions are followed up as appropriate. See comment above Manage and arrange travel arrangements for the associate e director Undertake and/or support specific projects, initiatives and processes as required. Prepare documents from copy including correspondence and reports and ensure distribution. This will include the use of a variety of computer packages.

Ensure all urgent and/or confidential communications are received and distributed to relevant parties in a timely manner. Collate and check information as required, including research and preparation of relevant information for all meetings as required, operating an effective bring forward system to assist in this procedure. Ability to liaise, collaborate co-ordinate with other professionals and partners across the system to facilitate workstreams in a resource effective manner. Liaise with colleagues both internally and externally to the HNY ICB and build and maintain effective relationships at all levels Any other duties as may be reasonably required including covering and arranging cover during periods of absence due to annual leave/ sickness and attendance at meetings.

Well organized, with high level planning skills and an ability to change arrangements at short notice, whilst not compromising key strategies. A genuine interest in the role and its importance to the successful delivery of the HNY ICB Strategy under the Associate Directors remit. Good team player with the ability to work on own initiative and unsupervised within defined policies and procedures to set timescales. The post holder will be expected to exercise considerable initiative and independent judgement with minimum supervision, ensuring that they exercise a high degree of tact, diplomacy, and confidentiality at all times.
