**Administrative Support Officer**:

- **20 hours per week**:

- **Monday to Friday, 10am-2pm (flexible)**:

- **Scale 2/3 (£20,812 - £21,968 per annum)**:

- **Permanent**

You will provide administrative support to all service areas within operations and undertake the efficient recording, processing and monitoring of data, providing reports as required. You will coordinate correspondence and communications ensuring the delivery of an excellent customer focused service.

Main Responsibilities
- Provide day to day administrative support across the, Operations Services and Customer Services teams.
- Record and process invoices. Providing monthly budgetary information on external income and expenditure.
- Record, monitor and coordinate tax, insurance and service history for all BCH vehicles.
- Maintain the vehicle tracker system and provide reports, analyse information and highlight exceptions.
- Provide analysis of operative productivity and job profitability using scheduling system and vehicle tracking system.
- Record and submit vehicle accident claim forms.
- Organise repair work to vehicles following any breakdowns and arrange replacement vehicles for operatives.
- Maintain fuel card records and provide reports, highlighting exceptions relating to fuel usage.
- Record communications received from Customers, MP’s and Councillors. Coordinate responses ensuring completion within required timescales and record findings and actions taken.
- To record and monitor complaints, highlighting deadlines and liaise with customers where appropriate. Record findings and actions taken.
- Record training records for operatives highlighting training requirements and expiry dates.
- Maintain records for tools and equipment purchased and on hire. Monitor service and renewal dates. Identify trends on frequency, usage and hire duration. Record and coordinate PAT testing and expiry dates.
- Order and record details of uniforms and PPE provided to operatives.
- Record relevant Health and Safety information including HAVS assessments. Monitor and highlight review dates and actions.
- Coordinate and record Health and Safety documentation for sub-contractors.
- Update quality audit database, record results and monitor recommendations included in action plans.
- Ensure accurate records are maintained for recording annual leave and absences for operatives.
- Undertake reasonable duties to support the activities of the Planners.
- Assist the Customer Service Adviser team with answering telephone enquiries at peak demand times and when short staffed.
- Ensure compliance with the standards of any external accreditation.
- Ensure compliance with Blackpool Coastal Housing service standards.

Our Care and Repair Service allows Blackpool residents to remain in their own homes through the Adaptations team providing the necessary aids/adaptations for this to be achieved. The More Positive Together (MPT) and MPT Steps Programmes help provide support to local residents in accessing the employment market, as well as BCH providing typical Housing Service functions of Rents, Lettings, ASB and Neighbourhoods.
