To keep clear records of queries, responses, notification and escalation. Produce basic reports and presentations using Microsoft products and trust systems as required. To provide basic general office duties such as, but not limited to, photocopying, and filing. Undertake any paper and/or electronic filing as required, ensuring records are stored appropriately Attend meetings and take notes as required, e.g., partnership forums, team meetings etc Enter data into relevant databases as required.

Oversee the administration of divisional reporting, including MAST and Appraisal compliance Provide administrative support as appropriate including typing and creating documents as required. Supporting the Divisional team with projects relating to the unplanned care programme as and when required. To actively contribute to the development and provision of modern, informed and effective administrative procedures and practices to meet the strategic aims of the Trust and the Division. To build effective relationships with the divisional operational teams and administrative function To maintain the Trusts pro-active approach to Equal Opportunities and Diversity.

To ensure all documentation and information systems are kept up to date and filed appropriately, making use of IT systems as appropriate. To maintain effective and efficient office systems and to make recommendations for improvement where appropriate. To undertake specific projects and tasks as directed by the Assistant Patient Service Manager To support the operational team in day-to-day work that may include preparation of information, storage and retrieval of information, and taking notes at meetings. To develop a strong relationship with payroll colleagues so that processes are undertaken as efficiently as possible.

To ensure that administrative activities are delivered within timescales escalating any potential delays or problems, as appropriate. To provide administrative cover across the department as required including busy periods and any absence of team members. To ensure that administrative systems are clear and well understood across the department. To ensure that confidentiality is maintained at all times.

To attend department and team meetings as appropriate. To assist in ensuring that staff personal files and the management of records are up to date on CITO in accordance with Trust Policy and the Data Protection Act. Assist in the training of new and temporary staff of all procedures used within the department.
