An exciting opportunity has arisen in Ophthalmology for an enthusiastic, friendly, hardworking, reliable and committed individual to join our busy team as a Clerical Support Officer.
You will be joining a busy team and we are looking for individuals who have excellent communication, organisational and administrative skills. Successful applicants will be able to work to deadlines and thrive in a busy professional environment, providing excellent customer service at all times.
This is a varied role in which you will acquire a broad skillset and gain a good working knowledge of not just the department, but the hospital as a whole. This opportunity can and has led to both personal and professional development and promotion.
You must have excellent interpersonal skills, be able to prioritise work effectively and efficiently and work well within a team. The role involves working closely with members of the team within the Ophthalmology Department, the wider hospital, GP’s and community hospitals
As this post deals with patients, relatives and healthcare professionals both on the telephone and face to face, applicants will be expected to have a courteous and efficient telephone manner.
Training will be given on the hospital administration system ‘Millennium’ and the Ophthalmology system, ‘MediSIGHT’.
To be flexible to the needs of the department to ensure cover and smooth-running of the department as a whole in liaison with the Ophthalmology Services Coordinator.
Maintain patient details and appointments efficiently on the patient administration system (Millennium). This will include registration of patient referral letters.
Check the information on the patient outcome / RTT form is correct and input this data onto Millennium, ensuring the patient has an appointment made or has a future appointment added to the ‘To Be Scheduled’ waiting list.
Upload patient information into EPR (electronic patient record). Attention to detail is essential to ensure documentation is stored accurately.
Accurate tracking in and out of patient records using the electronic computerised system.
Make, rebook or cancel appointments as necessary.
Assisting the secretarial team typing clinical letters
Receive patients and relatives at reception in a friendly, courteous and sensitive manner.
To offer administrative support elsewhere in the department, as and when needed.
To have or gain a thorough working knowledge of our Millennium appointments system and carry out/update training where necessary.
