**Main purpose of the job**

Operations Officer is responsible to support the operations processes supervising all the departments to ensure a smooth flow of the company’s operations on a daily basis. Responsibilities include keeping records of the company equipment, updating IT and Data policies, maintaining and developing the internal intranet platform, assisting in organising external business trips overseas for the whole team. The role is crucial to ensure the correct responding and running across all the departments.

**Essential duties and responsibilities**:

- Work alongside the operations team to oversee and liaise daily business operations
- Being responsible for enforcing company policies and procedures within the office
- Work hand-in-hand with managers of other departments concerning work/operational issues and other activities
- Analyse all operations and forward suggestions for improvement to the Manager.
- Order office equipment, return defective equipment/parts to a maintenance company and restock missing parts.
- Create and submit office equipment reports
- Arrange and prepare equipment for shipping/receiving and distribution accurately and promptly
- Assist the operations manager and directors in organising business trips overseas for the whole team
- Maintain the internal intranet platform, e.g. make sure the correct data entered, the information is updated on a constant basis.
- Cooperate with the IT Officer on developing the intranet platform.
- Cooperate with the operations manager and the team on gathering the information from all departments for the intranet.
- Ensure the prompt and accurate response to all handling requests
- Show new starters fire assembly point, fire exits and show around the building.
- Identifying when to escalate issue or concerns
- Monitoring adherence to policies and processes throughout GSUK
- Maintain and update reports and databases
- To undertake any other duties commensurate with the level of responsibility of this post, for which the post holder has the necessary experience and/or training

**Skills Required**:

- Attention to detail, with an ability to spot numerical errors
- Excellent verbal and written communication skills
- Bachelor's degree or equivalent
- Good leadership abilities
- Work and deliver results within limited time range
- Good analytical, problem solving, and organizational skills
- Good understanding of how an administrative setting operates and what is required at any given time
- Ability to maintain professional behaviour under the pressure.
- 1 year experience in an administrative capacity
- To have strong administrative IT skills
- To have advanced computer skills, especially in MS Office and MS Teams
- Able to respond quickly and patiently to requests from GSUK
