**Key responsibilities**

To provide operational and financial administrative support to the SSO and Store FM Teams and at times, the wider Property functions.
- Maintain the financial administration including raising purchase orders, reconciling invoices and follow up outstanding payments.
- Attending monthly supplier review meetings, minute take and type minutes with accuracy and circulate in a timely manner.
- Act as first point of contact within the Facilities office during working hours to ensure phone calls are taken and queries are dealt with in an efficient and timely manner.
- Monitor, raise and responding to reactive job requests, including liaising proactively and reactively with other staff and supply chain partners.
- Maintain filing systems, ensuring consistency and support management team where required.
- General administrative duties including stationery ordering, sending store plans, monthly store post processing
- Processing of outgoing and incoming business mail
- Managing Facilities and Postroom mailboxes and provide other administrative support to the Head of FM.
- Minute taking for supplier performance review meetings.
- Supporting with energy administration

**Required skills & experience**
- Previous experience in customer service or business administration desirable
- Knowledge of writing agendas, taking minutes, filing and screening calls.
- Experience in financial administration including raising purchase orders and reconciling invoices.
- Proficient in Excel and other MS Office products
- Strong communicator
- Knowledge of Post Room and Facilities Operations
- Understanding of DSE requirements / legislation
