**Job Title**: Strategic Secretariat Officer

**Salary**: £32,194 to £34,452 plus a Location allowance of £1,721. You will receive £32,194 the band minimum. Progress to the band maximum of £34,452 will be via incremental progression.

**Location**:New Scotland Yard (with agile working)

The Strategic Secretariat team has a unique position of access and insight into the working business of the Met’s Management Board. We run the Met’s corporate board meetings, including the Commissioner’s Management Board, the new Turnaround Board, Portfolio and Investment Board, Trust, Inclusion and Diversity Board, Performance Board and others. We are the Met’s lead for corporate governance.

The role is busy and requires someone with energy and enthusiasm to manage a high volume of work to tight deadlines. You will take ownership of at least two corporate board meetings, building a trusting relationship with the senior police officer who chairs each meeting.

**Core Duties Include**:

- Taking clear, accurate and succinct minutes for the meetings you organise
- Commissioning, collecting, quality assuring and circulating meeting papers
- Planning agenda items
- Tracking actions

You will need to be a team player, have an eye for detail, and take a flexible and positive approach to help meet wider team objectives.

**Key Responsibilities**

What does the average day look like? Your core duties will include:

- Working closely with the senior Secretariat officer to ensure compliance to the Investment Cycle using a robust tasking and forward-planning process
- Delivering professional secretariat support to uphold corporate governance. This includes logistics planning, agenda setting, commissioning papers and producing accurate minutes.
- Providing advice to business case authors and report writers on how to present decisions to corporate boards and the associated governance route to follow.
- Ensuring consistently high quality records of corporate meetings are taken, maintained and are made accessible to MPS staff and, as appropriate, the public.
- Ensuring the corporate meetings remain fit for purpose, identifying risks and implementing improvements as appropriate.
- The job holder has no direct supervisory responsibility. You will frequently have to work on your own initiative, and escalate issues within the governance structure as required.

**Essential Criteria**
- Excellent writing skills and good verbal communication skills. A strong ability to draft and finalise meeting notes in a clear and concise format. Minute-taking experience is essential
- The ability to analyse information and produce concise formal documentation of the discussion and decisions made at high-level meetings
- Ability to build and maintain effective relationships with staff and officers at all levels, as well as stakeholders and external partners
- Ability to see the bigger picture, work methodically and efficiently to ensure that records of corporate board meetings are accurate and auditable
- Ability to prioritise competing tasks and work under pressure to manage a high volume of work, often set against short timescales and on behalf of the most senior police officers
- Promote the highest standards of integrity, professional conduct, discretion and confidentiality
