**ABOUT US**:
Optimal Maintenance Ltd offers property maintenance to a variety of clients from housing associations to high-end estate agents.

Optimal Maintenance Ltd offers a professional service covering all types of property maintenance. This could be a carpenter to fit a new door lock, a gas safe plumber to install a new boiler or a full property refurbishment. No job is too small and, as a result, this means that properties receive the care they deserve with a high level of customer service from both office and field staff.

**THE ROLE**:
We are looking to expand our team and are seeking to recruit a dynamic and articulate Finance Executive.

**KEY TASKS AND RESPONSIBILITIES**:

- Writing detailed invoices and sending them to clients within 24 hours of completion, ensuring the correct payment terms and protocols as per SLAs are actioned
- Chase any overdue invoices with clients
- Send monthly invoice statements to key clients
- Upload supplier invoices ensuring correct processes are followed for approval by management
- Check Pleo (company card) transactions, cross-referencing with our job management software and following up on any procedures not being followed by staff and engineers
- Ensure insurance (company and motor) certificates are up-to-date and in place to pass onto clients and obtain competitive prices
- Updating the Master Tracker for our Power BI system with targets and overheads
- Checking our fleet management system weekly ensuring that open defects and pending items such as services are actioned in a timely manner
- Administration of parking and PCNs
- Monitor outstanding tickets on our job management software and follow up where required
- Any other tasks as required by the business

**THE IDEAL CANDIDATE SHOULD HAVE**:

- Experience working within a property maintenance company
- Experience using Microsoft 365
- Ability to multi-task
- Great attention to detail
- Ability to prioritise and work under pressure
- Good interpersonal skills
- Experience of raising invoices
- Excellent excel skills
- Quick learner and proactive approach
- Highly organised
- Adaptable to the needs of the business and new technologies
