As their Team Assistant, you will play a crucial role in ensuring the smooth running of operations and providing exemplary service to stakeholders across the organisation.
Responsibilities:
Arrange meetings and manage diaries across multiple time zones.
Coordinate with suppliers, investors, and their assistants for meetings, tours, and presentations.
Book meeting rooms for director meetings and greet guests.
Attend meetings, record minutes and actions, and distribute them promptly.
Assist with team and company events, including organising catering.
Screen incoming calls and direct them to the appropriate individuals.
Provide general administrative support, including document formatting, filing, and organising couriers.
On board new suppliers through the procurement team and raise purchase orders.
Support with travel bookings as needed.
Provide cover for other team members and assist the Executive Business Support when required.Requirements:
Excellent written and verbal communication skills.
Ability to work independently and as part of a team.
You must have previous experience of diary management of multiple stakeholders at director level, be able to work at pace, great people skills but also the gravitas to manage upwards.
Experience as a PA to multiple directors in a fast-paced environment.
Customer service experience is desirable.
A-level or equivalent education is desirable.
Advanced proficiency in MS Office (Outlook, Word, PowerPoint, Excel).
Strong organisational and time management skills.
Ability to handle multiple tasks and meet deadlines.
Discretion in handling confidential information.
Strong interpersonal skills with the ability to work with senior stakeholders.
Calm under pressure with a positive and approachable manner.
Highly collaborative and adaptable team player.Our client offers a dynamic work environment where your contributions are valued and your skills are nurtured. You will have the opportunity to work with a diverse team of professionals and support the success of the organisation. This is a fixed-term contract for 9 months, starting on September 9, 2024, and ending on May 30, 2025. The role requires a minimum of 3 days in the office per week, with flexibility to work additional days as needed.
