This Global organisation based in the heart of the City (EC2Y) is looking for a dynamic Virtual Learning Events Assistant to join their busy team to support with the delivery of their busy events programme.

The majority of the programme is online with up to 500 attendees set across the UK, therefore a socially confident, extremely organised/efficient approach with the ability to demonstrate a commercial mind-set is very much needed.

The Virtual Learning Events Assistant is a newly created role, offering further advancement and training and will suit somebody social and genuinely interested in client facing and informative events (with training events)

What you’ll do:

* Assist with the events schedule and the preparation of events, from planning, virtual set-up, trainer/speaker coordination and booking, event briefing documents, prepare equipment etc.

* Build solid relationships with clients, speakers, stakeholders, facilitators, delegates and suppliers

* Support with marketing – update the website and social media pages

* Multiple delegate liaison pre/post events: respond to enquiries, issue registration confirmations, take payments, produce/issue instructions (login links, uploading content materials etc.), deal with event cancellations and the seamless transferral of dates

* Be on hand for event login and handle any IT issues calmly and quickly

* Handle evaluations and feedback, to highlight improvements/changes needed

* Produce event materials i.e., Speaker/trainer materials, delegate papers & binders

* Close liaison with the finance department regarding on-time payments for trainers, request POs, provide payment details events, handle refund requests etc.

* Upload client and supplier information online, update systems and generally keep meticulous records for producing reporting accurately.

What’s required:

* Suitable candidates will be educated to degree level and will come from an events environment, with experience of managing plenty of delegate interaction to include online/virtual events

* Demonstrate solid clear and confident client and delegate facing skills (great social skills); able to show initiative

* Strong IT and document management skills in all Microsoft packages with a thorough understanding of online video conferencing such as Teams, Zoom etc.

* Comfortable creating and organising online files e.g. digital photos, client and supplier information, online calendars, expense systems etc.

* Demonstrate excellent time-management skills, and an understanding of how to prioritise

* Have a ‘can-do’ attitude with a pro-active and positive and social approach to work, including flexibility and adaptability to a variety of tasks

* Proven experience of delivering First-class client service

* Be organised, able to multitask under pressure, show initiative with an eye for detail
