The ideal candidate will play a key role in ensuring the smooth and efficient functioning of the office by providing comprehensive administrative support. Responsibilities will include facilitating communication between departments and managing a variety of tasks with professionalism and efficiency.

Responsibilities

  1. Answer phones and direct calls with a positive attitude and an energetic work ethic
  2. Provide office guests with a hospitable experience
  3. Order office supplies and provide inventory control system
  4. Research and create presentations (lifestyle: shops, hotels, restaurants, travel, luxury goods, etc.)
  5. Ensure that all office equipment (printers, shredders, etc.) are in order
  6. Assist with organizing office events and birthdays
  7. Assist Project Coordinators with maintaining good working relationships with suppliers of luxury goods and services
  8. Luxury shopping
  9. Luxury travel arrangements
  10. Other concierge services

Qualifications

  1. Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
  2. Excellent written and verbal communication skills in English and Russian
  3. Ability to multi-task, organize, and prioritize work, even under pressure
  4. Accuracy and reliability, attention to detail
  5. Tact and diplomacy
  6. Flexibility and commitment
  7. Experience in a travel agency would be a bonus
