Who Does This Role Report Into? Associate Director - London Office Buildings

Role Summary / Purpose and Scope This role is responsible for overseeing the day to day running of four sites with your time being split across the sites. The portfolio comprises multiple buildings for a single client.

High levels of Client Engagement and Building Management are required, with good management of contractors, security staff, maintenance, and cleaners, as well as 3rd party contractors, while having due regard to expenditure and current legislation.

Two of the buildings have recently undergone refurbishment and are currently vacant. Another building is under refurbishment, while the final building is occupied but has plans for refurbishment progressing.

We need someone with experience in managing buildings that have undergone refurbishment and projects, working through post construction defect liability periods. Subsequently, the candidate will need to be involved in tenant fit-outs as the buildings are leased.

  • In partnership with the Building Consultancy Team where appropriate, support the completion of planned works, commission Long Term Asset Replacement Plans, permit to work systems, monitor PPMs to ensure buildings are managed proactively, responsibly and that the service charge budgets and property plans are fully aligned ensuring compliance with CDM Regulations and appropriate communication with client and occupiers.
  • Working with the Client Leads to understand and work towards the client's objectives and develop strategies for the building meeting service delivery expectations as well as assist in any pitches for expanded or new work
  • Able to effectively coordinate and manage the full evacuation of the relevant building or site, including a floor by floor confirmation using only stairs and following the evacuation procedures for the relevant buildings or sites.
  • Monitoring statutory and internal compliance, instructing audits, assessments and specialist advice, aligning with service partners for control documents, log books and online management systems which form MAPP's control environment including meeting MAPP policies and procedures, RICS and ISO standards and any statutory and insurance timelines and escalation requirements
  • Manage contractor and supplier performance including service delivery and financial, ensuring best value and efficiencies using the relevant tools and reporting as required as well support the Procurement team with tender programmes and contractor performance reviews
  • Ensure emergency preparedness and site security plans are in place and scenario testing and appropriately support any emergency response requirements including out of hours
  • Lead in the management of FM Fee Income in partnership with the Client Leads
  • Prepare service charge budgets, including explanatory guides and analyse and monitor year end and monthly service charge expenditure, including monitoring outgoing costs and budgetary control in accordance with RICS guidance and investigate, report or address any outstanding positions and backlogs
  • Engage with occupiers including implementation of Customer Experience frameworks for the building to improve occupier satisfaction and retention, occupier forums and meetings and placemaking and V2 initiatives
  • Manage allocated site including regularly inspecting and recording your property, appropriately monitor, report on, support and feedback to site team and sample auditing your team for condition, standards, and occupier compliance with covenants
  • Working closely with the LOB FM team to ensure cost recovery and central budgets and effectively managed.
  • Work closely with surveying colleagues and central support functions to ensure client strategy is executed
  • Develop rapport with occupiers and look at ways of occupier engagement through placemaking opportunities and events in close liaison with the Occupier Services teamwhere required.
  • Attention to detail and high levels of occupier engagement and customer service will be required
  • Able to use own initiative
  • Effective PC skills, including working knowledge of Microsoft and Google packages
  • Pro-active, flexible attitude to changes in the company, IT systems and the role

Experience and Salary

Level of Experience / Certifications:

  • IOSH essential, NEBOSH desirable
  • A solid understanding of M&E

Working Hours: 37.5 hours Monday - Friday
Salary Range (Based on Experience)
GBP 50,000 - GBP 53,500
per annum, depending on experience.
