Studio & Events Manager

Reporting to the Studio Director, the role of the Studio & Events Manager, is to ensure the studios are well managed, building and teams are satisfactorily prepared to fulfill the service standards set by the Company. The role holder will also be responsible for effectively managing event enquiries and events that come into Spring from start to finish. Due to the nature of our business, there may be a requirement to work weekends, and/or alternative shifts.

Job Responsibilities

  • Work with Studio Director and wider Spring team to ensure all clients expectations are met. Highlight where client satisfaction can be improved.
  • Efffectively produce from start to finish Spring events, with client/ brand in mind.
  • Follow up with event bookings, emails and client requirements as well as with shoots bookingswhen instrucby Studio Director. Ensure communications are in line with Company expectation.
  • Provide daily support in the studio and events office with quoting, invoicing and creating productions sheets, when required. Ensure paperwork is accurate.
  • Share a responsibility with the part time Studio Manager, for planning daily shifts for the studio/ FOH team according to call and finish time of shoots.
  • Cover AM/ PM shifts according to business needs and overall team availability
  • Hold regular meetings with the housekeeping, maintenance and studio team, outlining all progress/issues, identifying resolutions and acting upon these.
  • Consistent promotion of all services to clients, to upsell and retain, via marketing initiatives and other means.
  • Daily update of estimates on AX/ Serrera to ensure smooth running ofs and events.
  • Partner and collaborate with the wider business teams, to ensure studio and event opportunities are well managed.
  • Attend regular meetings with the Studio Director, to review workflow/ opportunities and highlight any challenges, with a focus around resolution. Report all client feedback and internal team feedback to the Studio Director
  • Develop new ideas to improve Springs service for clients, to develop relationships further
  • Collaborate daily with the Catering team and 10sp – Fully manage catering requirements from all clients, gather catering requirements from shoot clients with 48h notice and work consistently with relevant teams to ensure that we meet clients expectations.
  • Develop a programme of stock management for all studio items. Outsource studio extras when needed, in advance of shoots and events, according to client requirements.
  • Partner with the Rentals department, regarding clients requirements for equipment extras, set up of floor plans as well passing on any client feedback.
  • Manage a list of reliable Suppliers (external caterers, AV EQ, external resource) for events and outsource services and goods in timely manner, as required.

Management Responsibilties

  • Manage the FOH team, together with the Studio Manager– seek the various skills required to progress into other areas of the business and pro-actively try to facilitate.Be responsible for the studio team, their hiring, their training and constant improvements required to ensure we offer quality service for our clients.
  • Partner with HR, to make sure all employment documentation is completed in accordance with Company Policy prior to any employee commences work taking appropriate references to ensure the good character of the individual.
  • Continue to develop the university and college network to ensure we have a direct source of new assistants and talent, inclusive of internship programme accommodation
  • Manage and ensure that all work undertaken by the studio team is to Spring standard.

Health and Safety

  • Work with the H&S Manager and the Maintenance manager to ensure all building exits routes are clear and comply with H&S overall. ensure teams are attending H&S training, where required.
  • Undertake all necessary responsibilities as a H&S Representative of the studio department, unless another member of the studio team is appointed to cover the role. Reguarly update and maintain H&S documents completed by studio staff and clients.
