Are you the Donna Paulsen we’re looking for?

I am searching for a (full time) top-tier Executive Assistant who can channel the brilliance of Donna Paulsen from the hit TV series Suits . As the sole director of a small but ambitious law firm, I need someone who isn’t just an assistant but a true partner in running the business. You’ll be my right hand, managing everything from administrative tasks to client interactions, ensuring the firm operates seamlessly.

Key Responsibilities:

  • Personalised Support : Provide unparalleled, comprehensive administrative support, including calendar management, client expectation management and care, quoting, onboarding and handling confidential information with discretion.
  • Office Management : Oversee the day-to-day operations of the office, ensuring everything is running like clockwork.
  • Client Liaison: Act as the first point of contact for clients, delivering exceptional service and maintaining strong, professional relationships.
  • Problem Solving : Anticipate needs, identify potential issues, and offer solutions before problems arise.
  • Project Coordination: Assist with the management of legal cases and projects, ensuring deadlines are met and clients are kept informed.
  • Multi-Tasking: Handle a diverse range of tasks, from administrative duties to supporting legal research and document preparation.

What We’re Looking For:

  • Experience : At least 3-5 years in a similar role, ideally within a legal environment. Experience in small business settings is a plus.
  • Skills : Expert-level proficiency in Microsoft Office Suite, outstanding organizational skills, and the ability to manage multiple priorities with ease.
  • Personality : You’re confident, unflappable, and possess an intuitive understanding of people and situations.
  • Judgment : Discretion and trustworthiness are paramount. You understand the importance of confidentiality and act with the utmost professionalism at all times.
  • Adaptability : Ability to thrive in a fast-paced, dynamic environment, always staying one step ahead.
