Receptionist Administration

ROLE RESPONSIBILITIES:
Welcoming visitors in a friendly and professional manner, assisting visitors with signing in and filling out medical questionnaires where required.
Effective management of the switchboard system, including transferring calls, taking messages and screening relevant calls as necessary.
Sorting and distributing incoming and outgoing mail and parcels
Arranging flights, accommodation and transport for colleagues traveling on business.
Handling customer enquiries and directing to the relevant person.
Management of stationary suppliers
Co-ordination of site room bookings, internal movements & visitors to site.
Other Ad-hoc administration duties as required.
Ensuring reception is always kept in a presentable manner.
Ensuring Reception is managed in line with site HSE, Technical and Internal procedures.
ROLE DELIVERABLES:
- Professional and courteous telephone manner essential
- Excellent Communication Skills, both written and verbal
- High level of presentation a must
- Flexible approach to work coupled with the ability to cope well in a fast-moving environment.
- Highly enthusiastic with a ‘can-do’ attitude, this individual will have the ability to remain motivated
whilst working alone.
- Ability to use own initiative, problem solve and work unsupervised.
- Previous experience in a receptionist/ telephone role essential.
- Proven ability to provide a high standard of customer service face to face or over the telephone.
- Excellent administration skills and high levels of attention to detail
- Ability to prioritize and manage time effectively
- A self-motivated individual who is able to manage own workload
