Overview of role
Working under theguidance and supervision of the Head of Vetting and Marine Assuranceyou will be responsible for providing administrative support to theVetting Department. Coordinating the compliance of the Tanker and BulkCarrier fleets, in line with the commercial vetting and compliancerequirements.
Key responsibilities andprimary deliverables
Vetting
- Notify vessels about planned vetting inspection.
- Ensure vessels SI reports are received as per agreedtimescale and submitted to Oceanfile.
- Organise SIRE and CDIinspections for the tankers and, RightShip inspections for the bulkcarriers in accordance with the inspection plan.
- Renderassistance with Pre-SIRE documentation.
- Organise Safety andCharterer inspections that are commercially requested for a particularvoyage.
- Provide vessel with requisite Class documents, priorto vetting inspections.
- Submitting Service/Repair orders toOil Majors/RightShip/3rd party vetting contractors.
- Coordinate with local agents, vessels, inspectors, andsuperintendents to ensure planned inspection can be completed in acost-effective way.
- Update and maintain office records withVetting Reports, Ship inspection and Port State Control data.
- Ensure crew evaluation is completed on intranet bySuperintendents upon completion of planned SIRE/CDI/RightShip/Safetyinspections.
- Download Superintendent’s Oceanfile reports forTanker Fleet and pass them on to the relevant assistant for filing andcirculation.
- Oil majors / RightShip approval message to befilled and maintained in SharePoint.
- Coordinate with vesselsand agents for periodical P&I attendance as required by P&I Clubs.
- Assist with questionnaires, drawings, certificates etc, asrequired.
- Keep OCIMF, RightShip, Q88 and CDI databasesupdated with vessel information.
- Prepare the KPI data forvetting and PSC inspections for the respective fleets.
- Analyse data and prepare reports, graphs, trends etc.
- Assist in preparing reports and presentations.
Skills Profile
- Shipping related degree or equivalent.
- Previousoffice / administration experience within a ship management company.
- Demonstrated strong interpersonal skills to facilitate andmaintain strong relationships at all levels of the business.
- Excellent attention to detail with the ability to identifyand focus on relevant information.
- Well developed numerical,analytical and report writing skills.
- Advanced knowledge ofMicrosoft Office; Word, Excel and PowerPoint and open to learningother data software package skills.
- Ability to self-motivateand to prioritise conflicting demands against short timelines.
- Strong focus on delivering quality and meeting deadlines.Successful track record in dealing with a broad set of activitieswithin a fast-paced environment, whilst managing pressure well.
