Job Description This is an exciting opportunity for someone to join our vibrant and rapidly growing department as a Team Assistant. You will play a pivotal role in ensuring the seamless operation of our office on a day-to-day basis. We're looking for a highly organised and motivated individual with a keen eye for detail to join us in this hands-on role. You'll provide support to our team, becoming the key point of contact for the office.

Global Investment at Omnicom Media Group
The Global Investment team is a dedicated unit to drive value creation and monitor and deliver commitments to our well established and growing client base. It is built around experienced media traders and auditors whose job is to share and apply investment best practice across the network and ensure that our clients always receive the best media value and investment guidance.

The team play a vital role quantifying and tracking media buying performance across all Omnicom Media Group markets for clients. We strive to define new ways of measuring value to ensure we continue to lead the industry in this area.

Your principal responsibilities include:
Diary management; organising and scheduling meetings, booking rooms, registering guests with security
Booking of travel for team, including collating costs and seeking sign off, organising of transfers, accommodation and visas where relevant
First point of contact for clients and external guests; welcoming guests, ensuring refreshments are available, wif-fi password etc
Point of contact for all IT and office-related enquiries
New joiner on-boarding; updating staff info sheet, logging birthdays, ensuring relevant meeting invites are issued
Manage employee leaver process; kit return
Ensuring office is maintained to a high standard; reporting any maintenance issues to facilities, keeping stationary cupboard organised, updating of signage across the floor
Cover for admin team annual leave; ensuring adequate handovers are provided
Assist in planning and hosting of internal and external events (team meetings, social gatherings).
Maintaining and actively updating admin folder and key contacts sheets
Processing of team expenses and timesheets in a timely manner
Assisting EA to the CEO with office support, IT responsibilities for the team, gifts and adhoc projects

Desired Experience:
Experience working within an office environment
Able to multi-task, prioritise and work well under pressure
Highly organised, efficient and thorough
Pro-active, can-do attitude, able to work without close supervision
Uses initiative and solution focused
A team player who has a flexible and hands-on approach
Confident, approachable with excellent people skills
Competent in Microsoft applications including Outlook, Word, Excel and PowerPoint.
