Position: Operations/Projects Assistant

Reporting to: Technical Manager
We are seeking a dynamic and organized individual to join our team as an Operations/Projects Assistant at our London office. This role will play a pivotal part in supporting our technical operations and project management activities.
Responsibilities:
- Create new projects, quotes, invoices, and purchase orders in our CRM system.
- Prepare and send out quotations to clients and follow up accordingly.
- Issue and chase sales invoices.
- Communicate with manning agents to ensure required manpower is available.
- Arrange international and domestic travel, hotels, visas, and issue necessary documentation.
- Coordinate with port agents for personnel and goods transfer to/from vessels/rigs.
- Liaise with suppliers for equipment, tools, and consumables procurement, including issuing purchase orders and organizing shipping.
- Maintain oversight of multiple overseas engineering and consultancy projects simultaneously.
- Ensure project records are filed in compliance with ISO standards.
- Monitor costs and prepare monthly profit/loss reports.
- Verify personnel certificates and training records.
- Manage office and stationary supplies.
- Track petty cash expenses and personnel expenses.
- Complete various questionnaires as needed.

Preferred Qualifications and Experience (Upon Starting):
- Degree in management or related field.
- Prior experience in administrative/operations roles, preferably in offshore, marine, oil & gas, construction, or similar industries.
