Title – Admin Support
To organise the day-to-day operations of the FM Project. To provide clerical support to our FM projects, managers, employees and coordinate all daily administrative activities.
Supporting the Facilities Management Projects with processing of invoices via the Orbit System.
Raising of Requisitions, Purchase orders and Sub-Contract orders in Orbit as instructed by the Line Manager.
Taking ownership of Project related reports, working along side the Finance and Commercial Teams.
Taking ownership of the financial “on-hold” report, dealing with queries raised off back of report and clearing these within the prompt payment code.
Supporting the project with Administrational support working along side the Project Operations Teams.
Taking ownership of invoice trackers and FM Contract trackers.
Deal with all enquires to the project office from Clients, Customers, Galliford Try Facilities Management (GTFM) staff via telephone, email, or direct access/attendance at the project office
Deal with electronic communications in accordance with Galliford Try Policies
Supporting the Jeopardy & Planning Team for CAFM system updates
Receive and appropriately action subcontract or supplier invoices in accordance with Galliford Try policies and procedures.
Undertake the filing of project and GTFM documents both in electronic and paper format as required
Maintain the stock of office consumables, uniform, PPE for use by the GTFM team at the required levels and provide a proper control on the purchase and issue of stationery.
The Administrator should be highly organised and able to multitask with ease.
The ideal candidate would need experience as an Administrator, relevant administrative role.
They should also be familiar with office software (e.g. MS Office), including word processors, spreadsheets and presentations.
Excel knowledge is a must.
