Role Overview:

This exciting and varied role will entail working closely with and supportingthe Support Staff Manager and wider Exams Department to help with the administration ofTest DayStaff.

Key Responsibilities:

  • Assist the Support Staff Manager with the administrative management of test day staff
  • Assist the Support Staff Manager with scheduling Test Day staff
  • Book any necessary staff transport / accommodation
  • Create work schedules to ensure that Exam Days are fully compliant
  • Assist the Support Staff Manager with recruiting new Test Day staff
  • Assist the Support Staff Manager with onboarding new Test Day staff in collaboration with the People & Culture Department
  • Ensuring that documentation for test day staff is up-to-date and compliant
  • Deal with pay inbox to process invoices and answer queries
  • Deal with expenses claims of Test Day staff
  • With the Support Staff Manager, deal with any staff complaints / issues
  • Organise meetings with Test Day staff to learn more about challenges and improvement suggestions
  • Assist the Support Staff Manager with managing IELTS examiners’ status using PSN manual
  • Assist the Support Staff Manager with monitoring and standardisation materials for Examiners / Examiner Trainers
  • Check Test Day staff inboxes to assist and communicate with test day staff
  • Assist the Support Staff Manager with managing communication with Test Day staff
  • Assisting with the coordination of test day staff training events and ensuring that Test Day staff do necessary exam board training sessions

General Administration

The Support Staff Coordinator may also be asked to help out with other general administration tasks within the department, including

  • Assisting with test day preparation and post-test processing
  • Checking and logging live test materials and conducting seals checks
  • Maintaining stock records (i.e. practice materials)
  • Assisting with tracking and returning secure materials to the Exam partners
  • Assisting with security checks
  • The role includes some manual handling duties e.g. sorting and packing test papers and boxes

OTHER

  • Undergo any training deemed necessary to maintain an up-to-date knowledge of exams administrative practices, current products and services.
  • Carry out any other duties that may be necessary for the smooth running of the Exams Department and that are commensurate with the responsibilities of the role.

Person specification

  • Excellent organisational and time management skills
  • Experience in following stringent systems and processes
  • Excellent interpersonal and communication skills
  • Ability to work unsupervised and demonstrate awareness of when to refer complex matters to senior staff
  • Demonstrable ability to use different IT packages confidently and competently
  • Ability to work quickly and accurately with basic numerical information and financial records
  • Ability to prioritise work and work effectively under pressure
  • Ability to work flexibly as part of a small team
  • A commitment to acting in the best interests of the staff, candidates and test centre at all times
  • Experience working within an exams environment
  • Experience of working with clients in an international context
