As a Project coordinator, you will play a critical role in supporting the project team on various different projects for a portfolio of different clients. This role will support the effective planning, execution, and completion of projects by assisting project managers and team members in various administrative, organisational, and coordination tasks. In essence, ensuring that projects run smoothly and efficiently by facilitating communication, managing resources, monitoring progress, and addressing issues as they arise. Acting as a central point of contact for project-related activities and help to keep all stakeholders informed and aligned throughout the project lifecycle.

Responsibilities

Overall, the primary responsibility of a project coordinator is to support the successful completion of projects by assisting project managers and team members in various aspects of project planning, execution, and coordination. They play a crucial role in ensuring that projects are delivered on time, within budget, and according to quality standards, while also meeting the needs and expectations of stakeholders.

Support and Planning

  • Assist in developing project plans, timelines, and milestones. Help define project scope, objectives, and deliverables. Ensure that all necessary resources are identified and allocated appropriately.

Facilitating Communication

  • Coordinate communication among project team members, stakeholders, and external partners. Schedule and organise meetings, prepare agendas, and distribute meeting minutes. Serve as a liaison between different stakeholders to ensure alignment and collaboration.
  • Maintain project documentation, including plans, schedules, status reports, and change logs. Ensure that documentation is accurate, up-to-date, and accessible to relevant stakeholders. Organise and store project files in a centralised location for easy reference.

Monitoring Project Progress

  • Track project progress against established goals, milestones, and metrics. Identify and address any issues or delays that may arise during the project lifecycle. Keep project managers and stakeholders informed of progress and provide regular updates on project status

Assisting With Resource Management

  • Coordinate the allocation of resources, including personnel, equipment, and materials, to support project activities. Monitor resource availability and utilization to ensure that project needs are met efficiently
  • Assist in identifying, assessing, and mitigating project risks. Monitor potential risks and issues, and escalate them to project managers as needed. Help develop risk mitigation strategies and contingency plans to minimise project disruptions

Project Administrative support

  • Offer administrative assistance to project teams, such as arranging travel, scheduling meetings, preparing presentations, and managing project-related correspondence. Handle logistical tasks to ensure that project operations run smoothly

Promoting Collaboration and Teamwork

  • Foster a collaborative and supportive team environment by facilitating communication, resolving conflicts, and promoting a positive team culture. Encourage knowledge sharing and cross-functional collaboration among team members

Requirements

  • Desirable- Previous project experience within FM sector or similar industry.
  • Effective communicator with outstanding written skills and a solution-oriented approach.
  • A collaborative team player capable of functioning in a fast-paced team environment.
  • Highly organised with the ability to manage multiple tasks and prioritise accordingly.
  • Driven individual who is eager to learn and develop.
  • Experience of working with, and providing effective support to, senior managers.
  • Ability to develop excellent internal, external and third party relationships and work with them collaboratively to form a close-knit team that delivers successful outputs.
  • Strong analytical skills with an organised and systematic approach and an ability to accommodate a wide and complex range of issues.
  • Excellent technical (MS Office 365, MS Project , Visio, Excel, SharePoint etc.) and presentation skills.
  • A pro-active and flexible approach within a changing environment.
  • Attention to detail is essential for ensuring accuracy and quality in project documentation, communication, and deliverables.
