The position has 2 key components, which are Administration and Reception. The first is to ensure that administrative duties are carried out as directed by the Facilities Manager. Assisting the facilities team with a verity of admin projects from across the Greenergy portfolio.
The second part is reception duties, working alongside the reception administrator as the initial point of contact for the Greenergy Group of companies in an efficient and professional manner.
This role is required to manage the reception duties efficiently in a friendly and accommodating manner and to promote a professional image on behalf of the organisation and to provide efficient and organised administration support to the office and company.
Hours of Work: 09:0 0hrs to 17:30hrs, Monday to Friday
Duties Administration:
To order local office catering and consumables as required.
Assit with local general office support including filing, photocopying, and archiving.
Administration of the group mobile phone asset register.
Assisting the Facilities Manager with various company projects including but not limited to:
Social committee and event management.
Office and depot administration providing a safe and secure working environment for occupants and staff.
Hire the right contractors to carry out hard and soft facilities management services.
Duties Reception:
To manage the local phone system to include answering all incoming calls; ensuring there is adequate cover during breaks and holidays.
To manage all reception functions including greeting visitors; tidiness of the reception and meeting rooms areas. Managing local meeting room bookings and equipment.
A minimum of 2 years office administration / reception experience.
Excellent telephone manner
Flexible Attitude
Knowledge of Microsoft office products to include Word, Outlook, Internet, and Excel.
Minimum of 2 years experience within a similar office environment
