General Purpose

• To provide clerical support to the Consultants / Branch Manager / Partners / Senior Partner of the branch.

• To complete the branch’s weekly payroll in line with the Organisations set policies and compliance criteria.

• To be the first point of contact for clients and candidates contacting the branch

• To effectively register new and update existing candidates on the Organisations in house database.

General Duties

• Promptly answering all inbound telephone calls and directing them accordingly.

• Filtering calls during key sales times.

• Open and distribute the daily post.

• Formatting of CV’s to be sent out to clients.

• Registering all candidates on the Organisations in house database.

• Obtaining references / temp leads from candidates.

• Placing job advertisements.

• Ordering necessary office stationary.

• Producing letters to clients and candidates.

• To communicate to the Branch Manager / Senior Partner and assist in the formulation of the resolution of any queries in a timely and efficient manner.

Payroll

• To generate and send out weekly timesheets in the most appropriate format; ideally via email.

• Gather completed timesheets from both clients and candidates in a timely manor so they may be processed before the Organisations payroll deadline.

• Check all timesheets for correctness against information entered onto the Organisations in house database.

• Considerable care must be taken to check: weekending date; total hours; signature and the correct signed date.

• Enter timesheets onto the Organisations in house database before the payroll deadline and scan all processed timesheets to Backoffice Nationwide.

• Meticulously check the validations and correct any discrepancies with assistance where required.

• Organise and set up new starters.
