Job Description

The Team Assistant is a key role to keep the team running smoothly through performing administrative and support tasks in the daily role of the leaders they support and by supporting with critical projects and tasks. 

In this role you would get to support across:

  • Diary management. Weekly, fortnightly, and monthly key meetings booked.
  • Scheduling across time zones
  • Meeting preparation through organising room bookings, catering, IT & AV support.
  • Attending operational and team meetings, taking minutes and actioning afterwards.
  • Reminding executives of important tasks and deadlines.
  • Supporting the management of the expense budget.
  • Involvement in organising internal events, conferences and client entertainment where applicable.
  • Booking travel and organising itineraries.
  • Timesheet management.
  • Maintaining and updating key documents to ensure consistency across materials produced by the team.
  • Manage on time delivery of team project updates
  • Working closely with the EA/PA team, picking up on additional tasks when needed.
Qualifications

In this role, we're looking for someone who has some previous experience from an administrative role or supporting a senior individual and can demonstrate the following skills:

  • Excellent time management and organisation with the ability to plan, think ahead, be proactive demonstrating keen eye for detail.
  • Ability to liaise with multiple senior stakeholders.
  • Comfortable working in a global capacity across time zones. 
  • Ability to work and thrive in a fast paced, high energy agency environment.
  • Excellent interpersonal and communication skills, with the ability to build relationships with the team, other departments and third-party contacts including clients.
  • An interest in working around a creatively focused organisation.
  • Proficient IT skills including MS Outlook, Excel and PowerPoint.
  • Strong problem-solving skills and the ability to proactively manage your execs time.
