We are the public body that looks after England’s historic environment. We champion historic places, helping people understand, value and care for them.

We have a fantastic opportunity for you to join us as our Internal Accessions Officer.

We are the nation’s Archive of England’s historic environment. We commit to be open, relevant and reflective of all stories and places so we can better understand the historic environment and how it has shaped our rich and diverse cultural identities. We curate a dynamic collection that tells the story of the shared memories and lived histories of places in England.

As a member of our Archive team, you will contribute to the better understanding of our collections - what we hold, its copyright and condition - and you will ensure that the content and assets are available in accessible, inspiring and engaging ways with a diverse range of audiences. Through your work, you will also assist the delivery of material for the purposes of income generation and improved access.

You are the lead for accessions of internally generated material. You will work closely with the Digital Preservation Officer and the Archive Resources and External Acquisitions Officer and will liaise with the Engagement and Content Officer to ensure the overall management of material into the Archive follows outlined guidelines and is appropriately documented.

What you will be doing

  • To revise and manage ongoing flowlines for the regular deposit of records created by HE staff, and to ensure that appropriate procedures, standards and advice are in place to assist this.
  • To design and take the lead on behalf of the Archive in discussions with internal departments with regard to the development of new flowlines for the regular deposit of archive material.
  • To identify and develop potential new sources of accessions from internal departments, and to produce reports and recommendations for the Archive management team to consider.
  • To liaise with the Records Management Team to identify and accession appropriate records from the HE registry system, so that key evidence relating to both HE activities and the historic environment is preserved.
  • To ensure that new internal accessions are appropriately processed and documented, so that they are accessible to users.
  • To liaise with the Digital Preservation Officer to design suitable guidance for record creators, to ensure deposit of records in appropriate digital formats.
  • To maintain and administer up-to-date guidance on GDPR and the use of Model Release Forms within our Archive
  • To produce, in conjunction with the Digital Preservation Officer, Archive Resources and External Acquisitions Officer, and the Engagement and Content Officer, regular digests of new acquisitions for internal and external audiences.
  • In conjunction with the Archive Resources and External Acquisitions Officer, manage the care and preservation of the Archive Collections
  • Participate in national and cross-group projects which reflect corporate priorities and take a lead where appropriate in such projects.
  • To provide advice and expertise to other teams across HE, working collaboratively to ensure that
  • Our approach to collecting, acquisition, storing, retrieving and re-use of archive material, is coherent, efficient and effective.
  • Develop knowledge and awareness of all the areas of work undertaken by our Archive and the Communications and Public Engagement Group to offer an integrated service to internal and external customers.
  • Develop and foster innovative ways of making material available.

Who we are looking for

  • A degree in a subject relevant to the historic environment, or equivalent relevant experience.
  • Experience of managing acquisition process in archive or museum sector
  • Experience of researching the background and content of collections
  • An understanding of copyright in the digital environment
  • Systematic and accurate approach to documentation
  • Good understanding of potential use and users of collections, and able to apply this in context of acquisition process

We are an equal opportunity employer which values diversity and inclusion. If you have a disability or neurodiversity, we would be happy to discuss reasonable adjustments to the job with you. Having just won the Gold Award from MIND, we also recognise the importance of a healthy work-life balance.

We are an inclusive employer and believe that flexible working options are for everyone. We want to make sure our working arrangements don’t prevent anyone from joining us because of their personal circumstances. We also want to provide you with the best balance in your home and work life that we can.

We are open to considering options including job sharing, part-time working, compressed hours working and different working locations, including hybrid working. Please visit our jobs pages or contact us to find out more.
