The Assistant Workplace and Facilities Manager is a key role within our Facilities team. The team provide safe welcoming workplaces for all of our London based employees including our head office with a strong focus on employee wellbeing social connection and inclusion. Facilities also manage the Company Flats in Mayfair which are serviced rooms for visiting employees.The Assistant Workplace and Facilities Manager is based in our head office in Mayfair with a day each week spent in our Belgravia office. The role is responsible for supporting the effective operation of all our London workplaces and the services within. No two days are the same and alongside core responsibilities there is plenty of scope to get involved with projects innovation trials and to make a real impact on Grosvenors sustainability goals.You will have a full overview of the diverse range of services the team provide with direct exposure to all areas of the wider Grosvenor business. The role offers lots of opportunity for self-direction within the support of a wider team. This is an excellent opportunity to develop knowledge and skills in a highly respected multi-sector property investment and development business.Key ResponsibilitiesDay-to-day management of both hard and soft FM activity for both London workplaces and the Company FlatsManagement of CAFM systems Vantify and Halo including quotes job logging paperwork and reporting sign-off and small payment approvalsDay to day liaison and contact for Maintenance external contractors and suppliers including insurance inspections H&S audits and core maintenance activitiesProactive building management including regular walkarounds and inspections remedials and work supervisionManagement of building H&S compliance including annual risk assessments and auditsSupport with office moves and changes projects and team goalsLead on smaller projects and innovations driving process improvements with a particular focus on sustainability and cost effectivenessSupport with building logistics in the event of an emergency this includes acting as Fire Warden and providing operational support as needed.Key RequirementsPrevious relevant experience gained within a similar Workplace and/or Facilities Management roleExperience of effectively managing contract partners and suppliersExcellent communication skills able to build strong relationships at all levels and motivate othersAdaptable pro-active and self-sufficient able to manage and prioritise workload effectively across a varied range of tasksPassionate about sustainability and building an inclusive and safe workplaceSolid understanding of the H&S requirements for commercial buildingsMust have IOSH Managing Safely certificate or be willing to undertake this within the first year of employmentGrosvenor is proud to be a Disability Confident Committed employer.
