Administrator - Private Client Services, Investment Management


Job Summary:

As an Administrator within the Private Client Sector of the Investment Management industry, you will play a crucial role in overseeing and managing administrative functions to ensure the seamless operation of private client services. Your responsibilities will span a range of tasks, from client onboarding and account maintenance to regulatory compliance and team coordination. The ideal candidate will bring a wealth of experience in the financial services sector, possess strong organizational skills, and demonstrate a deep understanding of the unique demands of private client management.


Key Responsibilities:


Client Onboarding and Maintenance:

Facilitate the onboarding process for new private clients, ensuring all necessary documentation is collected and compliance requirements are met.

Coordinate with relevant internal departments to set up and maintain client accounts accurately and efficiently.

Regularly review client profiles to ensure information is up-to-date and in compliance with regulatory standards.


Administrative Oversight:

Oversee day-to-day administrative operations related to private client services.

Coordinate with various teams, including portfolio managers, legal, and compliance, to ensure smooth workflow and client satisfaction.

Develop and implement efficient administrative procedures to enhance overall team productivity.


Client Communication:

Act as a key point of contact for private clients, addressing inquiries and providing timely and accurate information.

Collaborate with client relationship managers to enhance client communication and foster positive relationships.


Team Collaboration:

Work closely with other senior administrators, portfolio managers, and support staff to ensure cohesive teamwork and efficient service delivery.

Provide mentorship and guidance to junior team members, fostering professional development.


Process Improvement:

Identify opportunities for process optimization and lead initiatives to enhance operational efficiency.

Implement new technologies or tools that can improve administrative workflows.


Qualifications and Requirements:

Strong organizational and multitasking abilities.

Excellent communication and interpersonal skills.

Proficiency in relevant software and tools used in investment management.
