Private Client Probate Case Manager

A Probate Case Manager is responsible for managing the administrative aspects of probate cases, ensuring that all legal and procedural requirements are met. This role involves working closely with executors, beneficiaries and clients to facilitate the smooth processing of estate after someone has passed away.


Key Responsibilities

Case Management:

·        Manage and oversee the Administration of probate cases from start to finish.

·        Maintain detailed records of all case activities, ensuring compliance with legal and procedural requirements.

 

Client Interaction:

·        Serve as the primary point of contact for clients, providing updates and answering questions regarding their probate case.

·        Conduct initial consultations to gather necessary information and explain the process to clients, as well as quoting for any additional work outside of the normal estate administration.

 

Documentation and Filing:

·        Prepare, review, and file all necessary legal documents related to probate cases, including inventories and final estate accounts.

·        Ensure that all documents are accurately complete and submitted in a timely manner.

 

Communication and Coordination:

·        Communicate effectively with executors, financial institutions and other relevant parties to gather information and coordinate the probate process.

·        Ensure that all parties involved are informed of the case status and any required actions.

 

Estate Administration:

·        Assist in the identification, valuation, and distribution of estate assets.

·        Ensure that all debts, taxes, and other obligations are properly managed and settled.

·        Prepare and process invoices, payments requests and receipts through the case management system.

 

Research and Compliance:

·        Stay informed about changes in probate law and court procedures to ensure compliance with current legal standards.

·        Conduct legal research as needed to support case management and resolve complex issues.

 

Data Management:

·        Input and update case details in the case management system (Focus).

·        Monitor and track case progress, using the Probate Workflow google sheet ensuring deadlines are met.

 

Qualifications and Skills:

Educational Background:

·        Degree or equivalent; additional qualifications in law, administration, or a STEP / CILEX qualification is particularly advantageous.

 

Experience:

·        Previous 2-3 years estate administration experience in both taxable and non-taxable estates and simple trust-based estates. 

 

Technical Skills:

·        Proficient in Microsoft Office Suite (Word, Excel, Outlook).

·        Familiarity with case management software and financial accounting systems.

·        Strong organisational and time management skills.

·        Excellent communication and interpersonal abilities.

·        Attention to detail and accuracy in document preparation and case management.

·        Ability to handle sensitive and confidential information with discretion.

 

Key Competencies:

·        Analytical Thinking: Ability to analyse complex legal and financial information.

·        Problem-Solving: Proactive approach to identifying issues and implementing effective solutions.

·        Client Service Orientation: Strong focus on providing excellent service to clients and maintaining positive relationships.

·        Team Collaboration: Ability to work effectively as part of a team and coordinate with various organisations.

 

Working Conditions:

·        The position is typically office-based, however hybrid working of at least 3 days a week would be considered for the right candidate.

·        May require extended hours during busy periods or to meet case deadlines.
